EXECUTIVE ASSISTANT TO THE CEO
We have an immediate opening for an Executive Assistant to provide support to the CEO/President of Tower Systems. The Executive Assistant is a representation of the CEO, so it’s a position that requires professionalism and strong relational skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Be a partner to the CEO and help leverage the CEO’s time by performing various duties based on the shifting and growing needs of the CEO and the company
- Participation in program management which involves duties on a regular weekly, monthly and quarterly basis as well as project management for strategic and ad hoc initiatives
- Act as an ambassador/gatekeeper to the CEO, ensuring she is kept informed of upcoming events, commitments and responsibilities with appropriate and timely follow up
- Prioritize conflicting needs, handle matters expeditiously, proactively, and follow through to successful completion
- Handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Create documents in support of meetings/conference calls, including presentations, reports, and proposals
- Plan and coordinate CEO’s schedule, including judgment calls for meeting presence and travel requirements
- Attend key staff and team meetings as required, preparation of agenda and meeting minutes as needed. Independent follow-up on action items from meetings
- Coordination of CEO s corporate credit card(s) including preparing and reconciling CEO travel and expense reports
- Assist with planning and overseeing employee recognition events, annual employee training, and Company sponsored events such as lunches or dinners
- Support of executive team
- Other ad hoc duties as and when requested
ADDITIONAL RESPONSIBILITES:
- Assist in answering overflow calls on multi-line switchboard
- Assist other departments on an as-needed basis
- Work positively with co-workers and management
- Must be dependable, consistently at work on time, follow instructions, respond to management direction, and deal with frequent change, delays, or unexpected events
- Must have good written and verbal communication skills and be able to effectively communicate with all levels of the organization
QUALIFICATIONS:
- A Bachelor’s Degree and/or a minimum of 5 years in a support role, experience working with an Executive is a plus
- Proficient in Microsoft Word, Excel, Outlook, Power Point, Publisher, etc.
- Ability to work in a fast-paced office with minimal supervision and stay motivated to complete action items in a timely and efficient manner
- Strong project management skills
- Proven track record of meeting deadlines and successfully managing administrative processes and projects.
- Expert level written and verbal skills
- Proven organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Confidence in learning new technologies
- Very strong interpersonal skills and the ability to build relationships with various internal and external stakeholders, including other executives, staff and board members
- Sharp business judgment, ability to see “big picture” and to prioritize, while working independently, yet asking for help when necessary
- Self-starter who enjoys finding ways to improve things without direction
- High energy, strong work ethic, disciplined execution skills, willingness to do whatever it takes to deliver results
- Ability to handle intermediate stress generated from reaching time sensitive deadlines
- Organizational skills; ability to perform multiple tasks at a time
- Strong attention to detail; ability to maintain filing systems, schedules and trackers (hardcopy and electronic)
