Position Summary
The Office Administrator works with the Regional Business Director (RBD) to facilitate successful implementation of systems to ensure the smooth operation of the regional office. The position manages various administrative functions at the regional level, in coordination with RBD. This position serves as a valued resource to employees and management and directly interacts and collaborates with numerous individuals within and external to the organization.
Note: Duties for this role may vary somewhat across regions to meet the staffing, physical location or other variable needs of a region.
Essential Functions
Regional Office Support
- Coordinate with regional leadership and RBD on office management:
- Serve as point person for all office activities.
- Ensure proper phone coverage and safety of offices at all times. Continually develop and structure general office procedures to increase productivity.
- Establish and maintain control of physical property which will require holding key local vendors accountable for providing service expectations and compliance and notifying RBD of issues as soon as reasonably possible.
- Ensure proper maintenance of office equipment and building, including coordinating with RBD to in tracking, disposing, or otherwise modifying capital assets.
- Coordinate management of all office systems (copiers, phone systems, internet, security systems, shredding, etc.).
- Assist RBD with the development of proposals for office technology solutions, following CCNC Procurement Policy guidelines as necessary.
- Open and process all incoming mail.
- Manage equipment and office supplies in support of regional office operations, coordinating with RBD as necessary.
Administrative Support
- Provide meeting scheduling support for other regional meetings.
- Coordination, collection, and communication of various projects such as logoed clothing information, badges, business cards, etc.
- Collaborate with RBD/RBM to communicate and coordinate licensure and certification updates.
Human Resources Support
- Oversee regional administration of CCNC’s human resources policies and procedures and ensure compliance with employment laws.
- Review and provide input on various HR policies/SOPs that are benefitted by the regional perspective
- Work with RBD to coordinate offering of various training programs (e.g., CCM exam prep training)
- Help RBD to organize training to supervisors/managers
- In compliance with CCNC’s inclement weather policy and procedures, coordinate with RBD, and regional leadership to communicate current inclement weather status to regional staff in order to ensure safety and coverage.
- Provide information and support to RBD regarding employee relations matters
- Provide support to RBD during annual budgeting process and periodic budget reconciliations
- Ensure staff have access to equipment and materials required to perform assigned job duties
- Other duties as assigned
Requirements
- Previous office/general administration experience in a Community Care of North Carolina role preferred.
- Proficient in MS Office applications
- Outstanding leadership skills, including decision-making, problem solving and conflict resolution
- Possess analytic and sound judgment skills required to make significant decisions within standards of the position
- Maintenance knowledge a plus.
- Ability to analyze personnel as well as various management problems and recommend solutions
- Ability to manage multiple tasks/projects, including prioritizing duties, meeting deadlines and providing on-time responses to management, supervisor and staff requests
- Work well with diverse staff, members, physicians and other customers
- Outstanding communication skills, both written and verbal, including group presentation skills

Education and Experience
- Bachelor’s degree in Business Administration, Human Resources, or related field and/or equivalent of human resources/office administrative experience.
- SPHR/PHR certification preferred.
Working Conditions
- Position is largely office based with occasional work from home.
- Work involves extended periods of time seated, heavy computer usage.
- Also may include lifting of 25lbs or more.
