Title: Secretary to the Director of Human Resources & Labor RelationsSalary: Per Local 1137 Collective Bargaining AgreementTerm: 12 months, Monday-Friday, 52 Weeks, 35 hours per weekDuties and Responsibilities:Serves as the Secretary to the Director of Human Resources & Labor RelationsFiles and maintains employee records and foldersComposes correspondence independently such as teacher statement of service letters.Prepares postings for clerical, custodial, or other staff as assigned; creates posting folder and logs applicants.Assists in employment verification as needed.Date stamps, processes, and/or distributes daily mail received by department.Processes employment applications.Processes leave request forms.Sends out appropriate forms to employees that are out for medical reasons or for care of a family member as provided by law. Ensures that medical documentation is provided.Enters teachers in proper positions and schools, maintains changes as they occur.Schedules pre-employment physicals for new employees as required.Enters newly hired employees into the accounting software, RIDE databases, attendance program, etc.Reports new hires to the State of Rhode Island online.Distributes proper forms to Benefits and Payroll.Types appointment letters to new hires, transferred employees, leave of absences, employment separations, and supplemental letters.Update staff changes in all databases and on organization charts.Assists in tracking changes for certifications required for employment.Registering and maintains a list of up to date substitutes available for per diem work.Completes accident reports for injured employees.Sends notification to workers compensation company. Notifies Department of Labor & Training.Manages and tracks all claims and employee incidents.Tracks absences and doctors appointments for employees out of work with job-related injuries.Compiles reports as directed such as EEO, Civil Rights, census, seniority/tenure list, etc.Reliable and consistent attendance for 8 hours per day including one hour for lunch, 5 days per week, 260 days per year.Required to assist with the switchboard and answer calls in absence of Human Resources Secretary/Switchboard Operators absences including breaks and lunch.Other duties as assigned by the Director of Human Resources & Labor Relations and/or her designee.This is an interview positionOpen to internal Local 1137 members only until 12/12/2019.
