Full Job Description
Our client is looking for an Executive Support Specialist for their President! The ideal candidate would have some HR experience as they rely on this person to help reinforce policies. The successful candidate must be able to balance a “gentle firm hand” with flexibility, as well as an emphasis on discretion as the position will be handling lots of confidential information. The position will also be maintaining consistency in procedure by serving as a channel for communication and by combining and utilizing talents, expertise and resources of the Executive Support Department.
Responsibilities:
- Carry Out Directives on behalf of the Executive, provide direction to personnel reporting to the Executive, not including disciplinary actions,
- Act as a liaison between departments
- Daily meetings with Executive, covering follow up, and action items
- Evaluate priority items, reviewing daily commitments
- Coordinate weekly departmental meetings, monthly executive as well as other
- Manage access to the executive, coordinating communication and act as contact person
- Manage schedule and calendar
- Retain shared information as well as specific information pertinent to the Executive, utilizing the centralized filing system procedure
- – Employee relations, management of ADP for direct reports, new hire/termination process within HR and business technology service
- – Assist in the preparation and development of policies and procedures, maintain updates and changes to policies and procedures, as well as other document controls
Skills:

- Computer and technology proficiency (Power point, Visio, Goto Meeting, Smartboards, Ipads)
- Ability to read, listen, interpret and understand information and ideas
- Knowledge in Project Management Skills
- Attention to detail and ability to juggle multiple priorities
- Knowledge of current technology, not limited to Microsoft applications Visio, Goto Meeting, Smartboards, and iPads*
Qualifications:
*
- Education and/or experience equivalent to a minimum of an Associates degree from an accredited college or university with a degree in Business, Administrative Assistant
- A minimum of five years professional experience in an executive support or administrative position directly supporting a chief officer, more preferably, the President/CEO*
