Position Purpose:

  • The purpose of this position is, but not limited to, facilitating the President’s objectives by providing a high level of organization, enthusiasm and professionalism by maintaining consistency in procedures, by serving as a channel for communication and by combining and utilizing talents, expertise and resources of the Executive Support Department.
  • This is a full-time, exempt position working Monday through Friday with core hours between 8 am and 5 pm. This position will report to our President.

Positional Responsibilities:

  • Carry Out Directives
    • On behalf of the Executive, provide direction to personnel reporting to the Executive
    • Does not include disciplinary actions or related questioning of the personnel under Management’s respective department
    • Act as liaison between departments
  • Daily meeting with Executive, including but not limited to:
    • Follow-up System
      • Facilitate follow-up items from the tickler system
      • Facilitate action points taken from the Executive’s incoming and outgoing e-mails
      • Facilitate any action points taken from meetings relating to the Executive’s department
    • Evaluate and coordinate priorities and follow-up items
      • Prepare and review the day’s commitments of the Executive
    • Desk Management
    • Task Management
      • Maintain a log of the Executive’s tasks, including due dates, level of effort required, and priority level
      • Review and update the log weekly
  • Manage Access to Executive
    • Manage access and coordinate communication between Executive and internal and external customers
    • Serve as contact person when the Executive is not available
  • Maintain Schedule and Calendar
    • Maintain Executive’s agenda and calendar, as well as any scheduling of meetings utilizing Outlook
  • Access Corporate Centralized Filing System
    • Retain shared information as well as specific information pertinent to the Executive, utilizing the centralized filing system procedure
  • Employee Relations
    • Management of ADP on behalf of the executive for direct reports
    • Facilitate new hire and/or termination processes within Human Resources and Business Technology Service
    • Management of Human Resources and Business Technology Services system access requests
  • Project Management
    • Assist in the development and organization of projects assigned to the Executive
  • Policies and Procedures
    • Assist in the preparation and development of policies and procedures
    • Maintain updates and changes to policies and procedures, as well as other document controls
  • Coordinate weekly departmental meetings, as well as other meetings between members of Management and other corporate personnel
    • Schedule meetings, request and coordinate agenda items
    • Set-up all technology needed for the meeting
    • Document the action points and key decisions from the meetings
    • Communicate action points to employees as needed
  • Participate in monthly Executive Support Department Meetings
    • Accomplish team objectives involving projects and goals as the Project Leader or in support of the Project Leader
  • Cross Train in all Executive Support Responsibilities
    • Attend training sessions to aid in personal development, as requested, or required by the Executive of Executive Support
  • Assist TASC in projects that will help to achieve its goals and objectives through the incubation process
  • Operate within TASC’s guidelines pursuant to the Employee Handbook and all policies and procedures
  • Perform additional duties as requested by Supervisor and/or Management

Qualifications:

  • Education and/or experience equivalent to a minimum of an Associate’s degree from an accredited college or university with a degree in Business, Administrative Assistant
  • A minimum of three to five years of professional experience in an executive support or administrative position
