Job Description

The executive assistant to the chief executive officer (CEO) provides high-level, confidential administrative support to the office of the CEO. Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with board members. This position is often privy to confidential information and as such, requires diplomacy and discretion.

Executive Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others, and will rely on experience judgment and independence to plan and accomplish goals.

Primary Responsibilities:

  • Handling office tasks, such as generating reports and presentations, setting up for meetings, and reordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Screening phone calls and routing callers to the appropriate party.
  • Transcribe minutes from meetings, create presentations, and conduct research.
  • Greet and assist visitors. Maintain professional communication via phone and e-mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Representing the office of the CEO and COS to the CEO
  • Managing schedules and handling phone calls
  • Processing expenses, planning and coordinating meetings

Skills & Qualifications:

  • Excellent organizational skills
  • Motivated to learn and grow
  • 7-10 years of administrative/office experience supporting a C-Suite executive, CEO preferred
  • Environment supporting a CEO with a Chief of Staff, highly preferred.
  • College degree required
  • Extremely computer savvy
  • Candidate should be smart, motivated, personable, detail oriented and be able to multi-task in a fast-paced environment
  • Proficiency in G-Suite strongly preferred
  • Strong writing skills
