This school year, ACE serves 7,000 children in Arkansas, Colorado, Kansas, Louisiana, Missouri, Montana, Texas and Wyoming, and is actively pursuing other expansion opportunities with support of a national funding partner. Position Overview

The Events Director will be a full-time contract position from January – April 1, 2020. This role will work closely with the ACE Communication team to plan and produce a variety of events across all ACE Scholarships markets for the 20th anniversary, focused primarily on the Colorado Annual Luncheon, May 12th. A successful candidate will be extremely organized and be able to seamlessly jump in for a designated period to manage the logistics of a major event while building and executing smaller events simultaneously.

ACE Scholarships is known for our exceptional, meticulous, high-end, major fundraising events. We are an event driven organization and depend heavily on the experience of our events to raise significant amounts of money for our cause.

Key Responsibilities

 Planning and executing a prioritized list of events primarily all aspects of the Colorado
Annual Luncheon on May 12, 2020
 Planning event aspects, such as venue, seating, dining
 Develops (with COMMS team), content for event correspondence, collateral materials, social media and web
 Manage the full time Event Coordinator
 Working with the Communication team on program flow and messaging
 Understanding the complex needs of different events, and diverse markets
 Maintaining a working relationship with vendors and venues
 Coordinating event entertainment, including music, performers, and guest speakers
 Collecting invoices and ensuring payment of vendors

 Adhere to approved event budgets, monitor expenses and opportunities for savings, and maintain detailed records/receipts for financial accounting
 Manage and help execute logistics on event day, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and overseeing take-down
 Manual labor both pre and post event ensuring event is set up and/or cleaned up correctly
 Anticipating and planning for possible different scenarios
 Strong communication skills, and the ability to present event ideas and plans to team and vendors
 Ensure quality, design consistency, data integrity, and timeliness of deliverables
 Informs and updates staff members and other involved parties throughout the event cycle
 Performs additional duties and responsibilities as needed
 Communication support as needed
 Ability to work independently

Candidate Profile

 Bachelor’s degree in Communications, Hospitality, Event Management, or similar degree; or equivalent professional experience
 3-5 years of experience, high-end event experience preferred
 Knowledge of, and passion for, school choice and ACE Scholarships mission
 Strong attention to detail
 Strong interpersonal skills, with excellent verbal communication skills
 Strong time management skills, analytical and decision-making skills along with considerable tact and diplomacy
 Confident in writing skills and ability to draft talking points
 Self-starter with ability to identify problems, and develop and implement solutions
 Ability to manage multiple projects and, when necessary, respond rapidly to external events

Location and Reporting

 Position will be based in Denver, CO
 Reports to Chief Marketing Officer
