Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Responsibilities:

  • Act as a confidential assistant in the executive department managing calendars and schedules, screening callers and arranging appointments, meetings, and conferences.
  • Answer all incoming calls for President and CEO.
  • Calendar meetings, engagements and book rooms.
  • Act as contact for all Board Members and attend to their needs and concerns.
  • Schedule Board Meetings, confirm attendees and secure meals.
  • Create and distribute Board packets to all members.
  • Attend Board Meetings and take minutes and forward completed minutes to Board Members.
  • Attend and take note at assigned meetings or conference calls.
  • Create letters of correspondence and thanks and deliver, as required.
  • Prepare presentations, spreadsheets and reports.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Prepare responses to correspondence containing routine inquiries.
  • Open, sort and distribute incoming correspondence, including faxes and email.
  • Assist other departments in matters related to the President and CEO.
  • Perform additional duties as assigned by the President and CEO.

Physical Demands
While performing the duties of this job, the employee is occasionally required to stand, walk, sit, use hands to finger, handle, or feel objects with hand and arms; talk and hear. Specific vision abilities required by the job include close, distance, color and the ability to adjust focus.

Work Environment
The work environment is primarily indoors, but may require attendance at events that are held outdoors. The noise level in the work environment is usually low.

Qualifications

  • College degree in relevant field or equivalent work experience.
  • Knowledge of administrative and clerical procedures and systems such as managing files and records, stenography and transcription, designing forms, and other office procedures and terminology,
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Intermediate to Expert level in Microsoft Office.
  • Attention to detail, accuracy, and the meeting of deadlines.
  • Ability to work cooperatively under pressure with a broad range of people.
  • Intermediate to Expert level in Microsoft Office.
  • Ability to manage to work independently and manage time effectively.
  • Ability to be polite, firm and decisive.
  • Capacity to understand and follow instructions on complex matters.
  • Ability to communicate tactfully with other staff members and the public.
  • Exhibit a high degree of judgment when dealing with confidential matters.
