Open Campus at The New School seeks a Project Manager (PM) to supervise and manage the closely aligned implementation of both a new student information system (SIS) and a new customer relationship management system (CRM). We plan the implementation of an SIS slightly ahead of that of a CRM. The PM will report directly to the Senior Vice President and Dean of Open Campus and will collaborate closely with the universityâs IT department. The PM will develop project goals, objectives, project management guidelines, project standards, project scope, risk identification and mitigation, quality management, project budget, reporting and documentation in collaboration with the Dean of Open Campus and institutional stakeholders. The PM will confirm that internal staff and contracted resources are utilized effectively across the project. The PM will review and recommend approval of project deliverables. Finally, the PM is responsible for reviewing and reporting on the project work plan, overseeing detailed task management, monitoring activities of the services vendor and implementation team, timelines, and risks, and has overall responsibility for reporting on status of project activities, milestones, and deliverables. This is a limited term, 24-month appointment.
Responsibilities:
- Lead weekly meetings including documenting action items, assigning a priority ranking, and identifying exceptions and/or items needing further decisions.
- Provide weekly reporting on status.
- Report high level project status to IT PMO.
- Create and maintain project documentation including but not limited to: implementation plans, schedules, work breakdown structure, task and activity planning, issues and risks, budget, steering and working committee agendas and follow up reports, and team communications and overall project reporting.
- Develop and implement change management strategies and processes.
- Resolve and manage critical and high-impact issues.
- Prepare business cases and recommend critical project direction and scope changes, options, and issue resolution to the governance group.
- Provide post-production support to maintain sustainability of system and operations, implement new functionality, and change business processes to support statutory changes and other changes requested by process owners.
- Conduct regular internal project reviews with the Project Team.
- Follow-up on action items from meetings and document decisions and outcomes.
- Ensure that the development timetable, budget, Statement of Work (SOW) are kept up to date and any variances or exceptions are documented and resolved.
- Facilitate calls between implementer, third party vendors and other internal resources as needed.
- Manage vendor(s) at all implementation levels.
- Schedule resources needed for QA and UAT testing and educate testers on process and logging accordingly.
- Test vendor corrective actions taken or implemented for all documented exceptions in the QA testing above.
- Monitor and schedule resource utilization and maximization.
Minimum Qualifications:
- Bachelorâs degree required.
- Successfully project managed large, complex CRM and/or student information systems deployments.
- 5+ years of experience managing projects within Agile and / or PMI / PMBOK Project Management methodology
- A strong track record of delivering projects, on time, and on or under budget and with high quality.
- Knowledge of change management strategies and implementation approaches.
- Familiar with principles and practices of quality assurance and risk management.
- Demonstrated vendor management experience.
- Effective and efficient process improvement skills.
- Strong analytical, trouble-shooting/problem-solving and organizational skills.
- Strong time management skills and the ability to meet goals and deadlines consistently.
- Excellent attention to detail and accuracy.
- Strong initiative and accountability, follow-up and follow-through.
- Excellent verbal and written communication skills and ability and strong desire to communicate proactively with team members and stakeholders at all levels.
- Able to work independently and as a strong team leader
- Proficient with toolsets used for project management.
Preferred Qualifications:
- Agile Project Management Certification
- Previous work in higher education
- PMP or Similar Certification
