Key Functions
Office Administration
- Manage board relations budget – track expenditures
- Assure the accuracy. completion and distribution of required materials for Board and Committee meetings
- Provide assistance to CEO and other officers to ensure business relationships with board members are satisfactory (Clinic/Foundation)
- Plan/oversee all aspects of board meetings – selecting the appropriate location, negotiating the right price, arranging for the necessary services and planning the event logistics. Manage constantly changing aspect of presentations and attendance.
- Record and transcribe minutes of board meetings and department meetings
- Maintain confidential corporate, department files and records in an organized manner.
- Provide assistance to CEO by maintaining daily calendar of appointments and meetings; prepare meeting agendas and distributing meeting materials, travel arrangements and expense reports.
- Serve as liaison to Menninger staff, patients, referring professionals, local and national organizations and the general public appropriately according to current organizational and executive needs, situations and preferences.
Operations Support
- Facilitate Board and committee nominating process
- Provide consistent information about current services/research/training to board directors
- Ensure accurate information through all communication tools including Raiser’s Edge.
- Assemble and mail board books according to bylaws
- Assure that bylaws are current and properly filed
- Notarize and certify copies of certain documents
- Notify board directors as directed by CEO
- Perform other job-related duties as assigned
Education Required: High School Diploma. BA preferred (experience can be substituted for a bachelor’s degree)
Experience Required – Five to seven years of office experience. Experience in meeting/event planning. Demonstrated proficiency utilizing office systems such as Microsoft Office (Word, Excel, and PowerPoint). Raisers Edge, and Dilitent.
Experience Preferred: Prior experience providing administrative support to an executive.
