EA/PA Job Description
EA Role
- As Executive Assistant you will work directly with the CEO and will be responsible for performing a number of administrative duties. You will provide virtual support in a well-organized and timely manner. You will handle anything the CEO needs support with from calendar management to booking travel itinerary and project management.
EA Responsibilities
- Coordinate executive communications, including taking calls, responding to emails and interfacing with vendors and team
- Prepare internal and external corporate documents for team members and industry partners
- Composing correspondence with team members and vendors
- Schedule meetings and appointments and manage travel itineraries
- Arrange corporate events
- Event planning for clients as directed by CEO
- Maintain an organized filing system of paper and electronic documents
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and vendors
- Take notes during meetings and insuring subsequent action items are completed
- Create and implement standard operating procedures and assist in building processes
- Act as a liaison between CEO and the staff
- Assist CEO in completing critical deliverables, including preparing spreadsheets and documents as needed
- Manage gifting/recognition for staff on behalf of the CEO
EA Results
- All emails and meeting requests are responded to and calendared in a timely manner
- Correspondence with vendors, team members and industry partners, are all handled with professionalism
- Projects assigned by CEO are completed within discussed deadlines
- Staff events are planned and executed within the budget and time frame assigned
- Standard operating procedures are easy to follow and uploaded onto our project management website
EA Requirements
- Minimum of 2+ years of experience as an Executive Assistant reporting directly to senior management
- Advanced G-Suite skills, with an ability to become familiar with company-specific programs and software
- Proficiency in collaboration and delegation of duties
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Exceptional interpersonal skills
- Friendly and professional demeanor

PA ROLE:
As an personal assistant to provide personalized, in-house support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the CEO’s personal life. You will handle anything the CEO needs support with from grocery shopping and meal prepping, to booking travel itinerary and light housekeeping.
PA RESPONSIBILITIES:
- Managing meal service (getting menus approved, making sure meals are
prepared during travel)
- Light housekeeping and cleaning several times per week
- Keep maintenance schedules for house and work with various vendors to keep
house repairs, upkeep and maintenance scheduled.
- Organizing travel and complex itineraries
- Assist CEO in packing clothing and gear for travel
- Retrieving, opening and organizing mail and taking action on handling
time-sensitive responses
- Mailing or shipping various items for the CEO
- Working with CEO to schedule or cancel various appointments
- Responsible for washing and putting away laundry and keeping closet tidy
- Able to run miscellaneous errands as needed
- ANY other duties deemed necessary by the CEO
- Communication with CEO as needed

PA RESULTS:
- Refrigerator and Pantry are always stocked with CEO preferred, and approved,
foods and meals
- House is always clean, tidy and organized.
- All travel is correctly booked, flights checked in, and hotel addresses input into
calendar
- CEO is always packed in advance, with all gear. Systems and processes
created around what this will look like each time, and adhered to exactly.
- Any and all mail interactions not needing CEO directly are screened and
handled.
- Vital personal appointments are set at least 1 month out and prescheduled
- Laundry is always clean and organized and put away
- All aspects of the CEOâs personal care are screened and handled appropriately
- CEO is supported with miscellaneous tasks as needed
- Systems to improve the life of the CEO are designed consistently. Ex: System to
have his apartment/house deep cleaned once every two weeks.
PA REQUIREMENTS
- Has own transportation
- Has a flexible schedule
- Moderate food prep abilities
- Ability to organize and clean
- Good at managing multiple, various requests and projects at one time
- Understands how to book and manage travel itineraries
- Has excellent planning skills
- Ability to follow routines and integrate routine with new requests
- Dependable, reliable and consistent
- Ability to design organizational systems on behalf of CEO
- Good communication skills. Both written and spoken.
- Efficient with email, phone, etc.
- Working knowledge of GSuite – Gmail, Google Calendar, Google Drive, Google
Sheets, Google Docs
- Able to consistently maintain a positive, can-do attitude no matter what and
reflect the demeanor of CEO
- Innate ability to seek out answers from other sources and problem-solve with
little input from Supervisors – highly resourceful
