TITLE: Scheduling and Admin. Manager

REPORTS TO: General Manager and Assistant General Manager
CAREER PROGRESSION: Assistant General Manager
DIRECT REPORTS: Experience Specialists

EXPECTATIONS:

People & Development

  • Partners with General Manager and Assistant General Manager to help facilitate scheduling procedures and policies

  • Designs and plans shift times based on business needs for each day

  • Effectively schedules employees in scheduling software and manages staff availability

  • Works closely with the AGM and the Talent & Development Manager to ensure that there is an appropriate amount of staff and that proper coverage is met for each work shift

  • Supports Events Manager with any staffing needs needed

  • Prepares daily zone charts

  • Provides assistance with payroll procedures and ensures we are adhering to the guidelines set by both company and law

  • Approves and schedules time off request and any shift changes or swaps

  • Monitors attendance and overtime accumulation

  • Creates and maintains a daily attendance log to monitor repetitive absences

  • Creates and maintains a tracking system for rotations that tracks repetitive station placement

  • Follows up with staff who have consistent attendance issues which may be in the form of a verbal or written warning

  • Act as a support for the MOD’s on the floor

  • Ensure employees work in a productive, friendly and supportive environment

  • Knowledge of staffing policies, procedures and best practices

Aesthetic Understanding & Application

  • Preserves existing brand standards established by the creative team to ensure the highest possible quality of presentation and cleanliness.

  • Innovates and improves brand standards and processes, as needed.

  • Acts as a brand ambassador reflective of the company’s values, practices, and aesthetic.

  • Shows continuity on all paperwork by staying on brand with company logo, font, and aesthetics

Qualifications:

  • 3+ years of relevant leadership experience in a demanding, high-volume environment with a large team.

  • Experience creating schedules for large teams.

  • Detail oriented with outstanding organizational, time management and leadership skills

  • Must have strong assessment, decision-making, written and verbal communication skills to be able to effectively speak to employees.

  • Must be an effective multi-tasker with strong communication and interpersonal skills

  • Must have experience in mediation and effective conflict resolution.

  • Ability to maintain a high level of professionalism and confidentiality.

  • Must have open availability (including holidays and weekends).

About Color Factory:

Color Factory is a collaborative interactive exhibit that debuted in San Francisco in August 2017. What was intended as a month-long run unexpectedly flourished as a celebration of color and creativity that lasted for another eight sold-out months. We have since opened our flagship in New York City in August 2018, where we’ve seen consistently sold-out crowds. In 20,000 square feet, we feature brand-new participatory installations of colors we’ve collected around the city— hues that invite curiosity, discovery and play.

We recently opened in Houston, and are excited to be running two locations with such stellar teams full of diverse, professional, fun people! Some of our favorite artists, creatives, designers and makers are teaming up with us to tell their unique color stories and engage all of the senses in unexpected ways.

Color Factory provides a unique experience carefully designed to be enjoyed by all ages. Through guided activities, interactive installations, and special treats and surprises we hope to connect our guests to the colorful moments around their cities and in their own daily lives.
