Your Role
As the Office Manager of our INTEC Group Fairfax corporate headquarters office, you will be* the *go-to person for all things requiring support and administrative assistance in our highly collaborative, studio environment. You will be asked to help with a wide variety of tasks, from greeting clients when they first arrive at our office to providing general team support in the form of scheduling, ordering, copying, filing, scanning, organizing, and an array of responsibilities in between. Basically, any tasks that keep our daily operations running smoothly and/or supports the success of our work and client deliverables will be fair game. Some days will be busier than others, but you will rarely (if ever) be bored and can expect no day will ever be the same!
As an Office Manager on the INTEC Group team, you will:
- Manage the overall day-to-day office operations; i.e. supply inventories and ordering, package preparation and mail distribution, light housekeeping and organizing, equipment management, etc.
- Be the “face” of INTEC Fairfax by greeting guests and alerting internal staff of their arrival.
- Work across departments to assist team members with data entry, printing, scanning, filing and miscellaneous tasks related to smooth office operations and/or project deliverable support.
- Assist in planning and coordinating internal and external office events and brand initiatives; place catering orders and make travel arrangements as needed.
- Correspond with external vendors and product reps, as needed.
- Monitor incoming calls and direct callers to the appropriate individuals.
- Be a champion of our office policies, standards and procedures.
- Have the reputation of being a supportive, collaborative team member.
- Take a proactive approach toward resolving problems and demonstrate initiative in performing tasks, both specified and open-ended.
- Remain flexible; willingly accept whatever tasks need assistance with a smile and a positive, “can do” attitude.
Qualifications needed to be successful in this role include:
- College degree preferred.
- A minimum of 3-5 years of office management/operations experience and/or can demonstrate an increased level of responsibilities, along with experience in general and executive level administration, is required.
- Prior experience working in architecture, design or creative studio with knowledge of industry terminology is a huge plus.
- Professional, articulate and detail-oriented with excellent communication skills.
- Trustworthy and mature; ability to maintain a high level of confidentiality and discretion with regard to project, business and personnel matters.
- Proficient in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with the Adobe Creative Suite and Deltek Vision is not required but will get you bonus points.
- Regardless of age or experience, possess a level of high emotional intelligence with the natural ability to connect to people.
