Harley-Davidson Office Manager
MOST WANTED Harley-Davidson is a fast-growing dealership in Dodge City, KS. We are looking for an extremely organized, self-directed, detail oriented, Office Manager to join our team.
MUST POSSESS:
- Ability to solve problems without guidance
- Exceptional customer service skills including phone etiquette
- Excellent computer skills including knowledge of Microsoft Office Suite, fast typing skills; 10-key
- Ability to organize office operations and control correspondence
- Strong written and verbal communication skills and the ability to work well with all levels of employees within the organization
- Ability to prioritize work and work in a self-directed and fast-paced environment
- Ability to understand paperwork and numbers, expertise in accounts payable and receivable, and daily cash reconciliation
- Ability to maintain confidential information
- Ability to follow directions well
- Ability to maintain a schedule and meet deadlines independently on certain cyclical tasks
PREFERRED QUALIFICATIONS:
- Bachelor’s or Associate’s Degree in Business or Accounting
- Knowledge of vehicle title work
- Experience using Lightspeed
- Experience and/or desire to work in the motorcycle industry
- Motorcycle endorsed license
- Bilingual English/Spanish
JOB RESPONSIBILITIES:
Bookkeeping-
- Reconcile cash, check and credit card receipts to prepare bank deposit daily, with accuracy and timeliness.
- Prepare mail and packages for the postal service.
- Travel to the bank and post office daily.
- Reconcile inventory receipts with invoices, research differences, and work with departments to make corrections.
- Reconcile any invoices in the accounts payable schedule that cannot be verified by a vendor or invoice.
- Communicate to vendors for credit card payments.
- Process credits from vendors.
- Process utility and expense invoices.
- Provide management with accounts payable estimates for cash flow purposes as requested.
- Answer and research accounts payable inquiries.
- Process remittances and any cancellation requests for warranties (Gap, Service, T&W, etc.)
- Process refund checks as needed.
- Reconcile the credit card statement with backup invoices monthly.
- Maintain vendor files, various logs, spreadsheets, and lists.
- Assist in monthly, quarterly, and annual reporting and filings as needed.
- Handle miscellaneous office work and assist with special projects as needed.
Title Work-
- Prepare tax and title documents.
- Submit all legal transfer documents to the DMV.
- Receive and process paperwork from the F&I department.
- Prepare payoff checks for new vehicles and trade-ins.
- Post vehicle sales and purchases.
- Input inventory control information.
- Register extended service policy contracts.
- Prepare trade-in & incoming vehicle jackets.
- Ensure that name and address files are updated on an ongoing basis.

This is a full-time position and applicants must be available to work Tuesday through Saturday.
Pay is commensurate with applicantâs training, education, and experience.
