BACKGROUND:

Stainless Process Systems (www.stainlessprocesssystems.com) is a rapidly growing ASME equipment manufacturer that engineers and builds precision vessels for the Pharmaceutical, Semiconductor, Aerospace, and Food and Beverage industries. SPS fabricates stainless steel equipment both as an OEM and custom (based upon our design) equipment supplier to domestic and global customers. SPS provides engineering servicesto ASME standards for the highest quality fabrication or repair of pressure vessels, technical processing equipment and non-rated tanks.

THE ROLE:

The Executive Assistant to the President of Stainless Process Systems will be part strategic business builder and part project manager. The ideal candidate for this role is eager to help build an engineering company for the long term, work closely with a President / Founder and his leadership team, is passionate about helping others and is highly proactive and organized. RESPONSIBILITIES:

  • Be a partner to the President and help leverage the President’s time by performing various duties based on the shifting and growing needs of the President and the company
  • Performing diverse, advanced support duties including: fielding employee requests for the President’s time and balancing them with strategic business projects, helping to guide strategic business projects to completion; managing an extremely active calendar of appointments; composing and preparing correspondence; meeting planning and preparations; interaction with all levels of the engineering organization as well as a range of external customers; and handling/coordinating confidential and sensitive information
  • Act as an ambassador/gatekeeper to the President, ensuring he is kept informed of upcoming events, customer needs, employee needs, commitments and responsibilities with appropriate and timely follow up
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through to successful completion, often with deadline pressures
  • Handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
  • Create documents in support of meetings/conference calls, including presentations, engineering reports, and proposals
  • Plan and coordinate President’s schedule, including judgment calls for meeting presence and travel requirements
  • Attend key leadership and production meetings as required, preparation of agenda and meeting minutes as needed. Independent follow-up on action items from meetings
  • Other ad hoc duties (such as picking up meals for the President, running to the store to purchase hardware equipment, etc) as and when requested

MINIMUM QUALIFICATIONS:

  • A Bachelor’s Degree and a minimum of 5 years in a support role, 3 working with a senior executive
  • Strong project management skills
  • Proven track record of meeting deadlines and successfully managing administrative processes and projects.
  • Expert level written and verbal skills
  • Proven organizational skills that reflect your ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Full proficiency with MS Office Tools (i.e. PowerPoint, Word, and Excel)
  • Confidence and a desire to learn new technologies
  • Very strong interpersonal skills and the ability to build relationships with various internal and external stakeholders, including other executives, customers and employees
  • Sharp business judgment, and a keen ability to see the “big picture” and to prioritize, while working independently, yet asking for help when necessary
  • Self-starter who enjoys finding ways to improve things without direction
  • High energy, strong work ethic, disciplined execution skills, willingness to do whatever it takes to deliver results
