Job Summary:
Provide comprehensive administrative and executive support to CIRCOR Internationalâs President & CEO (and limited support for Board of Directors) and act as the primary point of contact for both internal and external customers, represents the Office of the CEO in communicating with stakeholders, and handles multiple issues and concerns, as they arise.
Responsibilities:
- Provides administrative and executive support to the President & CEO.
- Maintains, tracks and monitors daily high-volume calendar. Manages incoming and outgoing emails, mail and phone calls, and determines the importance and priority of the issues.
- Maintains and updates daily activity report. Schedules and supports internal and external meetings and events (calendar coordination, logistics, and follow up on action items).
- Generates clear and accurate correspondence, including complex presentations letters, memos and emails. Handles highly confidential, sensitive and/or critical information, files, records and reports including materials for Board of Directors meetings.
- Coordinates complex domestic and international travel arrangements and prepares expense reports. Take on special projects as needed. Establish strong relationships with stakeholders.
- Comfortable interacting with all levels, internally and externally.
- Responds to inquiries within expected time frames ensures the highest caliber of professionalism in all interactions.
JOB REQUIREMENTS
CANDIDATE REQUIREMENTS
Required Qualifications:
- 8-10 years experience as an Executive Assistant. Experience supporting a CEO and Board of Directors for a public/private company strongly preferred.
- Must be detail oriented, able to work independently, maintain confidentiality and exercise judgment and discretion in the performance of all functions and responsibilities.
- Excellent oral and written communication skills; comfortable interacting with senior level executives and other staff within and outside of the company with a great deal of tact and diplomacy.
- Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects.
- Work well with a diverse group of people, at all levels, particularly in an executive environment, and with a high level of professionalism.
- Demonstrated integrity and work ethics. Strong organizational and time management skills.
- Experienced at organizing prioritizing, and scheduling work assignments; employee performance management skills.
- Must have advanced skill level in Microsoft Word, Excel and PowerPoint, as indicated by proficiency testing.
- Proficiency in Diligent board books strongly desired.
