About the role:
Birchbox is seeking a Contract Project Manager to work directly with the creative, marketing, and merchandising teams to ensure proper monthly briefs are created and to keep track of the associated campaigns/tasks throughout their entire lifecycle. Birchbox is changing the way people discover beauty & grooming products and we want someone who can help bring this vision to life.
**This is a 3 month contract to permanent role within our Operations department & requires a minimum of 3 years experience in project management.**
The Creative department is comprised of an in-house team of print & packaging designers, digital designers, and a photography team that creates all Birchbox visual moments: from e-commerce promotions and web features—to the box itself. The perfect candidate would know how each creative touch point relates to one another both domestically and internationally, and is excited by the idea of defining structure and processes to improve and enhance every moment.
When a new project comes through the pipeline, your team is the first stop. As such, cross-teams & business leads rely on you to prioritize projects, manage the creative process and monitor the team structure to keep everybody on track and projects on-time in an incredibly fast-paced work environment.
Your communication and task management chops must be outstanding. There’s a lot to get done and the right candidate will be energized by the chance to work together as one team in order to create the best possible experience for our customers. We work as a tight cross-disciplinary group so you need to feel comfortable working closely with people of varying levels and personalities.
Responsibilities:
- Intake, vet and evaluate new project requests from cross-functional teams, assessing team bandwidth as it relates to level of priority
- Work with team leads to align on best execution and deliverables
- Ensure all project requests have enough information for cross-teams to execute upon
- Follow up with project owners on any outstanding information from the brief
- Ensure creative assets are following project owner’s directives
- Proactively identify and flag potential problems related to timing on project deliverables & work with key stakeholders to resolve
- Monitor project scope to ensure scope creep does not occur
- Responsible for all projects to deliver on schedule to mitigate induced cost
- Compile a weekly debrief of current & upcoming projects with their level of priority & status
- Create seamless work processes and flow between physical design, digital design, and photography
- Serve as the point of contact for all creative needs, facilitating communication between requestors and designers
- Work closely with both the VP of Experience and the Digital & Print Design Lead for internal approval, to ensure deliverables are consistent with our brand’s voice & style guide
- Lead in-person review meetings with key stakeholders to ensure they pass QA
- Verify all requested revisions have been captured in final handoff
- Manage Project Coordinator, who is responsible for turning all creative, marketing & merchandising campaigns into project plans & individual assignments
- Assist with the monthly planning and execution of campaigns, including scheduling monthly meeting cadence, project plan set ups, and project prioritization
- Help improve current workflow processes & create new protocols if needed
- Live and reflect the Birchbox culture and its core values through your work
Essential Requirements:
- BA plus 3+ years experience in project management
- Candidate must be familiar with in-house photography operations and studio management, as well as print and web design operations
- Effectively manage bandwidth across teams, to drive efficiency
- Ability to manage a high volume of projects in a fast-paced, deadline driven environment
- A demonstrated history of creating and improving creative workflow and operations
- Extremely detail-oriented, with strong written, verbal & organizational skills
- Ability to solve problems, effectively make decisions, and get results through strong business reasoning
Pluses:
- Relevant e-commerce experience
- Familiarity with Asana (or another task management system)
- Basic/Working Photoshop skills
