PRIMARY PURPOSE:

Assist the Executive Director of Curriculum & Instruction with duties including handling phone calls/emails, inputting and processing requisitions, acquiring quotes, facilitating vendors, maintaining and revising calendar events, event planning and coordination, maintaining accurate time punches for the C & I department members, inputting travel requests, copying and assimilating training materials.


QUALIFICATIONS:


Education/Certification:

  • High school diploma or GED


Special Knowledge/Skills:

  • Proficient skills in typing, word processing and file maintenance
  • Effective interpersonal skills
  • Basic math skills


Experience:

  • One to three years of secretarial experience preferred


MAJOR RESPONSIBILITIES AND DUTIES:

  • Prioritize, organize, and manage work activities in areas involving acquiring accurate quotes, inputting and processing requisitions, facilitating travel requests, telephone related functions, maintaining accurate time swipes for the department, security functions and other areas as directed.
  • Follow both written and oral instructions accurately.
3. Exercise appropriate telephone etiquette, take reliable messages, and route to appropriate staff. Has minimum of personal calls. Operates departmental communication system as directed.
4. Follow all business office protocols.
5. Must have a good working knowledge of computer software systems utilized by department.
6. Maintain a high personal standard in the following areas: attitude, cooperation, dependability, judgment, initiative, and self-improvement.
7. Perform routine bookkeeping tasks, including arithmetic calculations for the department. (Requisitions, work orders and related items.)
8. Carries out directives set by the Administration and by the Executive Director of Curriculum & Instruction in accordance with BISD Board Policies and administrative regulations.


EQUIPMENT USED:

  • Uses computer, printers, typewriter, copiers, calculators, multi-line phone system, radio communication equipment, fax machine.
