Position Summary
Provide administrative support and coordination to the Chief Executive Officer (CEO), Board of Directors Chair, Board of Directors, Board Executive Committee, and Board Development Committee of Girl Scouts of Greater Los Angeles (GSGLA).
Essential Duties and Responsibilities:
- Prepare, edit and/or proofread professional correspondence for CEO, including memos, emails and letters with a zero tolerance for errors. Be self-directed and self-motivated to schedule and plan in advance for all upcoming meetings, conference calls and other Council events with minimal supervision in order to fully prepare the CEO.
- Manage Board of Directors and Board Committee communications, meeting planning, recordkeeping and documentation, including meeting minutes, Board/Committee meeting notices and pre-read packets, and other communications. Prepare for meetings by scheduling, preparing agendas and refreshments for meetings. Be conversant with GSGLA Bylaws.
- Coordinate CEO schedule and executive logistics such as managing the calendar, phone calls, public appearances, travel arrangements, filing and other scheduling as required by the CEO.
- Manage Executive Leadership Team and Senior Management Team communications and meetings.
- Manage and coordinate Council special events sponsored by office of the CEO, including selected aspects of annual meeting, Gold Award ceremony, delegate preparation, board retreat.
- Ensure all communications from both internal and external audiences to the CEO are handled appropriately and with a sense of urgency and sensitivity.
- Reconcile credit card statements & track expenses for budgeting purposes in a timely manner; prepare and monitor variances of annual budget for office of the CEO.
- Maintain effective and efficient filing system and mail system for the CEO.
- Prepare for external community and council events and activities/meetings and appropriately represent the CEO office and the Greater Los Angeles at such.
- Submit GSGLA documentation (Board material, Board lists, staff updates) to GSUSA in a timely manner.
- Strong interpersonal skills and demonstrated strong oral and written communication skills.
- Must be professional and credible with all internal and external visitors.
- Proven ability to maintain and preserve confidential matters.
- Assist fellow Executive Assistants with projects and workloads as time allows.
- Participate in supporting GSGLAâs cookie program at cupboards and events.
- Perform general administrative and other duties as assigned.
Skill, Experience & Education
- Eight to Twelve years of proven administrative support for C-Level Executives
- Experience supporting Boards of Director and Board Committees
- Experience in executive level work environment, including the ability to achieve maximum efficiency, accuracy and professional demeanor in a fast paced environment.
- Four-year college degree
- Experience in successful meeting and event planning.
- Demonstrated ability to organize and set priorities, working independently with appropriate decision-making.
- Demonstrated ability to maintain confidential documents, correspondence and discussions
- Demonstrated professional communication skills including both oral and written communication skills, including proofreading and editing skills included but not limited to taking Meeting minutes and providing them for review with a quick turn around
- Demonstrated strong interpersonal skills including a professional demeanor with employees and external constituents.
- Self-directed and self-motivated to achieve results as directed.
- Database and project management skills.
- Adapt to a varying work schedule as needed to complete essential work functions.
- Demonstrated proficiency in advanced Microsoft Office applications (including Word, Excel, and PowerPoint) with the ability to learn other technology as needed.
- Excellent written and verbal communication skills, along with editing and proofreading aptitude.
- Ability to manage multiple priorities, projects and display flexibility in a fast-paced and changing work environment.
Additional Organizational Requirements
- Valid California driverâs license and an insured vehicle.
- Able to work a flexible work schedule with some evening, early morning and weekend work required.
- Subscribe to the principles of the Girl Scout Movement.
- Possess a positive attitude with strong work ethic, integrity and honesty.
- Must be flexible, adaptable and willing to thrive in an ever changing/fast-paced environment.

Physical Requirements
- The incumbent is in a non-confined office-type setting in which he or she is free to move about at will. The environment for this position is mostly clean and comfortable but may include some minor annoyances such as noise, odors, drafts, etc. In the course of performing this work, the incumbent:
- Will spend time sitting, utilizing the computer.
- Will spend time standing/walking throughout the facilities.
- Must travel via personal vehicle or public transport to various facilities throughout the region.
- May lift up to 15 lbs periodically. If more, the incumbent must request assistance.
- The incumbent must be able to perform this job safely, without endangering the health or safety of him/herself or others.
