This position is responsible for policy, design and administration of the company’s associate benefit plans as well as timely and accurate weekly payroll processing. Position also oversees the HRIS Management Systems. This position serves as the company benefits and payroll expert and must remain up-to-date and compliant on all current and pending legislation and legal requirements at the local, state and federal level.
Job Duties and Responsibilities:
Benefits
- Prepare the request for proposal RFP) from benefit vendors in advance of the annual open enrollment
- Manage the Benefit budgets
- Manage benefit carrier accounts and relationships
- Evaluate the proposals and make recommendations for selection of carriers
- Evaluate the benefits offerings and recommend enhancements, changes and additions
- Look for cost savings strategies so company continues to offer low cost options for our employee
- Oversee the company’s wellness initiatives with the goal of reducing claims and improving employee’s health and well being
- Administer the company’s Paid Time Off Policy
- Complete all government filings and disclosures including 5500’s, Summary Annual Reports, Summary Material Modifications, and Summary Plan Descriptions
- Oversee COBRA administration
- Serve as chairperson for the Benefits Committee
- Administer the Family Medical Leave and Paid Time Off policies
- Provide claims projections and budgeting information
- Evaluate funding mechanism (self-funding vs fully insured) and make recommendations
- Work with benefits committee to research and handle all benefit appeals
- Function as the company’s HIPAA compliance officer
- Function as company’s Fiduciary Officer
- Develop benefits communications to inform employees of benefits plans and policies
- Work with Benefits Committee to research and handle all appeals
Payroll
- Manage and guarantee weekly disbursement of multi-state payroll, including wage orders, benefits and taxes to employees in 46 states consistent with federal, state and other wage and hour laws
- Manage the Payroll budget
- Critically review and analyze current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations
- Manage the offsite storage vendor and follow proper records retention guidelines for HR
- Ensure processing of new hires, transfers, promotions and terminations is accurate and timely
- Partner with HR leadership in recommending the best HRIS solutions for company
- Reconcile W2 forms quarterly to payroll registers, file quarterly Nevada Modified Business Tax Return and annual Delaware Department of Labor
- Manage company Relocation Program. Assist with all levels of management relocating coordinating their relocation needs with our 3rd party vendor
- Manage offsite storage requirements following retention guidelines for payroll records.
- Maintain HRIS How To Manuals for managers and employees
- Keep current with all federal, state and local taxing requirements
