SUNY Empire State College seeks an Executive Secretary to the President. The ideal candidate will possess a high level of discretion, diplomacy, and ability to successfully handle multiple priorities while maintaining a positive and professional attitude.

The Executive Secretary will serve as an integral member of the Office of the President and the college. Responsibilities include coordinating the President’s schedule, including initial vetting of requests for meetings and event attendance as well as coordinating briefing materials. Reporting to the Chief of Staff and, along with him, oversees the daily operations of the President’s Office. In addition, the Executive Secretary will be the President’s main point of contact while he is traveling for logistical and other administrative support needs.

Responsibilities include:

  • Coordinate the President’s schedule and travel arrangements
  • Coordinate with various offices to ensure that briefing materials for meetings and travel are accurate and comprehensive
  • Oversee the President’s Office email account and serve as office liaison to resolve student and employee problems that are referred the President’s Office
  • Prepare basic correspondences for the president
  • Serve as support for Cabinet level searches
  • Support and coordinate presidential meetings and events; support college-wide events as needed
  • At the request of the President or Chief of Staff, coordinate with other offices on major projects/initiatives
  • Act as the administrative liaison to the Support Staff Committee and proactively work to enhance the support staff and other administrative roles across the college
  • Communicate with SUNY, New York State, and other external agencies as needed
  • Convene and lead Cabinet Secretaries’ Meeting


Job Requirements:

Required Qualifications:

  • Associate’s Degree or ten years of relevant work experience
  • A minimum of three years experience supporting senior level administrators
  • Demonstrated proficiency in oral and written communication skills
  • Ability to work independently and drive problem de-escalation and resolution

Preferred Qualifications:

  • Bachelor’s Degree
  • Experience in higher education

  • This position is M/C 06 (Exempt) under NYS Classification
  • Hours: 8:30 am – 5:00 pm with one hour meal break.
  • Nights, weekends and early morning hours are occasionally required.
  • Work location: Saratoga Springs, NY

Salary: $55,000+, depending on qualifications
