American Petroleum Institute (API) is seeking an Executive Assistant to the CEO.
JOB PURPOSE
Providing confidential executive-level support to the President and CEO. Managing and coordinating the administrative functions and welfare within the office of the President and CEO.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Handling confidential information on the Association’s operations and overall performance.
- Must demonstrate a high degree of professionalism, initiative and independence in supporting the President’s office on a wide variety of complex issues.
- Establishing and maintaining effective working relationships with President’s staff, officials, and the general public.
- Assisting the President in the timely management of all communication, both written and via telephone, e-mail and voice mail with a wide variety of constituents.
- Draft any and all communications for signature by the President.
- Using initiative to handle a wide variety of administrative support duties, managing complex calendars, arranging meetings and travel.
- Arranging and maintaining scheduled appointments, coordinating appointments, meetings and speaking engagements for the President.
- Maintains calendars and provide timely reminders of due dates and priority tasks for the President.
- Make travel arrangements, prepare travel itineraries
- Reconciles expense reports and submits them for processing with all supporting documentation.
- Reviews and prioritizes the mail, noting actions and decisions required; as appropriate, drafts replies.
- Screens phone calls, exercising good judgment in handling and referring.
- Organizes and maintains accessible files for projects and issues relating to responsibilities.
- Gathers and organizes information for reports, memos and speeches.
- Performing other related duties as needed.
SUPERVISORY RESPONSIBILITY AND KEY RELATIONSHIPS
Works closely with API’s Executive Leadership, Board of Directors, Congress, Member Companies, Press and general public.
SKILLS, EXPERIENCE AND EDUCATION
Bachelor’s Degree with a minimum of 10 years experience in similar position. Highly professional individual who consistently exhibits good judgment and initiative. Strong written and verbal communication skills, solid computer skills and be familiar with company’s structure and policies. Strong interpersonal skills for interacting with the president, Board of Directors, member companies, API staff and the public. Must be detail-oriented, organized, able to multi-task and work well under pressure.
