JOB DESCRIPTION:
Amazing opportunity for a seasoned Chief of Staff/Executive Assistant to join a high-performing team. This is a new position that will be key in supporting the CEO as well as helping run the day-to-day operations of the organization from an admin perspective. The CEO is extremely busy and is looking for someone who is an independent problem solver and is ready to roll up their sleeves and jump in to any task that may come across their desk. This is a true right hand role with tremendous growth opportunities. The right candidate needs to be extremely proactive in anticipating and adapting to the needs of the CEO; being able to communicate clearly and course correct as needed to get the necessary results. This is a special opportunity for someone who wants to work in a high-paced environment, learn from a well-known and accomplished CEO alongside a close-knit team that cares both about relationships as well as performance and results. As a much anticipated role, the principal is looking to have an early Jan 2020 start date to kick off the new year.
RESPONSIBILITIES:
- Heavy involvement across all facets of running the principal’s business (administrative, operational, financial, client management)
- Oversee pipeline of prospective clients and open opportunities, including detailed and up-to-date reporting
- Maintain relationships with partners/vendors/suppliers through proactive communication, business development meetings and thoughtful follow up
- Extensive calendar & email management for the CEO as well as the team of coaches in the office
- Domestic and international travel planning and coordination
- Project management ensuring the CEO/team keep up with their KPI’s
- Understanding current business operations and incorporating efficient changes with people and technology to increase production and efficiency to our clients and team
- Liaison with business clients and support with client on-boarding process
- Analyze reports on weekly sessions, consultations and business development meetings and recommend effective strategies to meet business goals
- Analyze budgets and costs for major allocations and present analysis to upper level management and internal clients
THE IDEAL CANDIDATE:
- BA or BS degree or higher
- 3 + years’ experience supporting a C-suite individual in a high-paced environment
- Financial services background/ strong aptitude for numbers, budgets and financial reports(a big PLUS)
- Proficiency in Mac (required)
- Working knowledge of various computer programs (experience with Google Apps for business, Trello and Salesforce.com preferred but not required); Proficient computer skills in Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel);
- Ability to work & think independently, as well as manage others as necessary
