Receiving direction from the Executive Director of the MassGeneral Hospital for Children and Partners Pediatrics and the Administrative Director, Newborn Medicine, supports MGHfC projects related to network development, physician outreach, program development, government relations, provides project support for work across the Departments of Pediatrics, Pediatric Surgery and the MGHfC related to operations, supports the maintenance of MGHfC relationship, location, and volume tracking documents and provides support for community based newborn medicine operations
The incumbent must have strong interpersonal and organizational skills, an ability to work independently, attention to detail, and an ability to work under time deadlines.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Network Development and Physician Outreach Activities
- Project management support for all MGHfC network relationships including development and maintenance of project plans and activity reports for each relationship.
- Maintains reference materials for each entity with an existing relationship or a potential future relationship, including basic facts for that entity
- Oversees the documentation and communication of next steps associated with the project plans for each relationship including regular correspondence with managers and contacts within MGH Departments as well as contacts of outside entities.
- Acts as a liaison to the MGH Network Development team.
- Develops with the Executive Director and the department data analyst, standardized reports for each relationship entity to track volume, etc.
- Function as a point of contact for community based ambulatory practices to help with simple questions and to triage the requests to the appropriate clinical administrator, physician, or the Executive Director and as well help with oversight of the logistics associated with new sites and expansion of services at an existing site. Tracks invoicing and payments to ensure timely processing.
- Facilitates the scheduling of and tracks physician practice visits and support overall communication with community physicians including PCPO providers and affiliate pediatricians.
MGHfC Operations Project Support & Program Development

Maintains Department Emergency Notification Documents and support annual review and update of the departmental plans.

Support various program development or operations projects across MGHfC by creating meeting agendas, documenting notes and next steps, and following-up with team members to coordinate next steps and track project deliverables. Projects could involve ambulatory operations, quality and safety efforts, practice policy development, etc.

Manage resources, milestones, and timelines associated with projects to ensure adherence to the project plan

Develop a document to track government relations activities including tours, meetings, and visits with public officials.

Train in Healthstream to support publishing and assigning training modules
Manages MGHfC Stats and reference files

Develop MGHfC reports to summarize key metrics including admissions, ATOs, OR cases, visit volume, etc.

Compile data on various topics to summarize the work of MGHfC

Help develop and distribute reports including patient origin and referring provider

Develop summary documents to highlight community activities

Develop and maintain MGfC pediatric services listing by location

Develop and maintain and MGfC relationship list in collaboration with the clinical directors and network development

Develop and maintain various dashboards

Develop and maintain the Manager sfa to house reference materials, contracts, etc.Community based Newborn Medicine Operations

Acts as key point of contact for all members of the community based programs to provide direction and guidance regarding day-to-day issues and activities.

Acts as the liaison to outside Hospital units or departments regarding security, safety, information resources, buildings and grounds, etc. Attends and participates in Departmental committee meetings as appropriate.

Coordinates the orientation and training of new community based providers

Key point of contact for staff regarding issues related to schedules, credentialing and moonlighting payments.

Oversees purchasing for the community based programs.

Regularly tracks coverage shifts relative to contracted time and maintains spreadsheets to track and support processing of moonlighting coverage payments.

Supports special projects as needed.

Responsible for creation and maintenance of community based provider clinical schedules in AMION.

Maintains credentialing spreadsheets for all faculty to track licensure and hospital based credentialing as well as a process tracker for those being newly appointed or reappointed.

Maintains all administrative files in a structured and traceable manner, including contracts, amendments, credentials and medical education records.

Prepares and processes invoices and orders in a timely and reliable manner.

Independently identifies opportunities for increased efficiency in the programâs administrative processes, which include credentialing, reporting, billing, mailing, coordinating contracting, and procurement, information management and related tasks.

Ensure timely completion of the tasks assigned or flags/reports potential deviations from plans to the Program manager.

Develop and maintain project documentation such as meeting minutes and agendas, action items and issue logs as needed.

Performs other duties or special projects as required
Qualifications
QUALIFICATIONS:

Bachelors degree required, Masters degree in Business, Health Policy, Public Health or related field preferred;

Minimum of 3-5 years of directly related experience required;

Normal office conditions. Some travel throughout Southern New Hampshire and Eastern Massachusetts required.
