Responsible for the management and coordination of “projects” including small tenant improvements assignments, capital improvements, infrastructure, energy, and building or site repairs for properties; will provide project management support to Project Managers, Senior Project Managers and Directors for designated projects. Provide support to the project manager who has responsibility for multiple ongoing corporate infrastructure upgrade construction.

Job Description

Responsibilities:
Support project management staff responsible for specific sites or properties. Assist as required to identify project schedule milestones/requirements;

Maintain project budgets and timelines as required for each project and project phase. Responsible for overall spreadsheet maintenance of project costs and tracking against budgets. Report budget deficiencies to the Project Manager for action;

Review and process requisitions, change orders, payment applications, and other invoices associated with the project; ensures accuracy and conformance with established budgets and procedures. Assist project manager in the processing of contractor/vendor/design professional invoices, change orders, etc. Process invoices (including retainage release), purchase orders, change orders within owner’s systems with follow-through to ensure that the documents are processed in the timeliest manner;

Maintain owner reports that track changes so that a project financial can be given to the owner for reporting purposes as well as a momentary snapshot;

Under supervision of, and while assisting project managers in the management of projects, perform construction administration tasks as assigned, including but not limited to conducting site visits and recording field observations, preparing field reports and documenting job conditions, lead project meetings and keep minutes, coordinate and run field meetings with prospective bidders, contractors and design professionals;

Issues regular and ad-hoc status reports, including but not limited to financial and budget reports, to the Director, Operations Manager, personnel and client regarding work in progress.

Ensure thorough and timely project updates are made within project management technology solution;

Perform related project management assignments as required in the daily operation of the project management team.

Requirements:
2-year degree preferred.

2-3 years related experience in an engineering/architecture and/or construction project management environment.

Ability to develop excellent client relations, client management, and consultation skills required.

Superior oral and written communication skills required.

Software competency: Microsoft Project, PowerPoint, Word and Excel.

Time management skills are of the utmost importance along with analytical thinking. Must have above average excel skill
