Partner with executive administrative professionals to ensure domestic and international travel and events across all executive level staff are well coordinated to minimize travel expense and maximize efficiency
Organize and manage all details for company events such as catering, transportation, location, invitation list, equipment and promotional materials
Provide support in the form of travel arrangements to executive level staff
Ensure executives reach travel destinations on time and with accurate accommodations
Responsible for making all air, hotel and vehicle travel reservations for executives with noted supervisory exceptions
Provide optimal customer service to travelers during hours of operations and after hours as needed
Analyze services provided by travel vendors and recommend changes as appropriate
Initiate and participate in the negotiation and structuring of corporate rates/fare reductions with vendors
Develop, document , and implement necessary policies and procedures to minimize travel expenses
Communicate necessary changes or modifications to procedures to the appropriate parties on a timely basis
Bachelorâs degree in Communications, Public Relations, Hospitality, Marketing, or related field or equivalent experience. 5+ years of combined project management and travel coordination. 2+ years of experience in supporting executives with travel arrangements. Experience working with and leading diverse groups and matrix managed environments. Availability to be on-call to address last-minute changes or issues that arise, which typically means working some evenings, weekends, and holidays.
