Job Description: Executive Director
Reports to: Heritage Park Preschool’s Board of Directors
Job Summary:
The Executive Director oversees all matters pertaining to the operation and success of the organization. It is the responsibility of the director to maintain compliance with the Rules and Regulations of the State of Colorado. The preschool director must work in partnership with the administration of Heritage Christian School to ensure a good working relationship between the two organizations.
Qualifications:
1. The director must hold a current director’s qualification letter from the state of Colorado.
2. The director must have at least 3 years of experience as an early childhood educator.
3. The director must have strong interpersonal communication skills and the ability to work well with staff, children and their families.
Essential Duties and Responsibilities:
Program Management:
§ Must be present at least 75% of the time the preschool is open. Must work at least 40 hours a week, more then 40 hours will be required any time the schedule can not be covered by the other staff members
§ Manage registration and enrollment
§ Plan school calendar
§ Plan and implement parent/ teacher conferences
§ Plan annual fall planning meeting and regular staff meetings
§ Maintain all employee and student records
§ Keep license and inspections updated as stated as by the Rules and Regulations for the State of Colorado
§ Will be the liaison between the staff and the parents as well as between the preschool and HCS
§ Responsible for written correspondence to parents (such as newsletters, updates, field trip notices and handbook changes)
§ Oversees all procedures and training needed for quality ratings
§ Maintains a visible presence to staff, children and parents
§ Develops and implements preschool policies and procedures
§ Maintains confidentiality with all staff and child records as well as any other sensitive materials and information
Budget Management:
§ Responsible for setting the program budget and presenting it to the board
§ Responsible to run the program within the yearly budget
§ Identify and secure resources to support the budget (fundraising and grant procurement)
Financial Management:
§ Prepare and distribute monthly statements for tuition and registration fees
§ Communicate with parents regarding payment plans if needed.
§ Work with the bookkeeper to pay all bills and obligations in a timely manner
§ Keep accurate records
§ Check timecards and account of payroll with the bookkeeper
§ Responsible for signing all checks distributed by the preschool
§ Maintain all records and responsibilities for Colorado Preschool Program, Colorado Childcare Assistance Program, and scholarship funds received through the Human Resource Coalition and United Way
§ Maintain all attendance records and documents for receiving payments through the Division of Vocational Rehab and Child Care Aware
§ Responsible for all grant reports
§ Orders any supplies needed for the preschool
Staff Management:
- Recruit, hire, train and supervise all staff
- Evaluate all staff on an annual basis
- Oversee the management of each classroom including the curriculum
- Maintain and implement the weekly staff schedule
- Hold regular staff meetings
- Schedule and keep track of staff vacations or paid time off
- Play an active role in professional development goals for each employee
- Update and maintain the staff handbook, implement staff training, and set policies and procedures with the board
- Lead the staff in any conflict resolution necessary
- Work to keep a harmonious and healthy work environment for each staff member
- Terminate or suspend and make written warning when needed to preschool employees. This will be determined with the input of the preschool board.
- Oversee and document 15 hours of yearly training for each employee
- Will prepare all at-will employee agreements on an annual basis
- Set a positive example for every staff member when working with other staff, the children and the families.
- Maintain a list of qualified substitute teachers
Other Responsibilities
- Must maintain a minimum of 15 hours per year of continuing education as required by the Rules and Regulations of the State of Colorado. Will meet any new requirements for directors in the state of Colorado in the time allowed to do so
- Must attend all Heritage Park Preschool board meetings and work directly with the board president to set the meeting’s agenda.

The preschool board retains the right to modify or change the duties of this job where and when it deems appropriate.
Job Type: Full-time
Salary: $38,000.00 to $42,000.00 /year
