Executive Assistant to the President & CEO

RBI is a privately held electrical and communications contracting and services firm operating in the United States and Canada.

We are looking for an experienced, well-qualified Executive Assistant to join our team! If you are a fast paced, highly organized executive assistant, this amazing opportunity to work for an established, professional organization may be perfect for you!

This is a full-time administrative position supporting the President & CEO of the company and requiring strong, proactive, independent thought and problem-solving abilities. Work is performed independently, requiring direct interaction with the President with cross functional and interdepartmental interactions on a daily basis across the organization.

In this role, an individual supports the President and the Company by performing the following duties. Other applicable duties or responsibilities may be added or assigned from time to time:

Job Duties:

  • Manages the President’s email Inbox to filter non-essential messages and focus his efforts;
  • Manages the President’s calendar, coordinates corporate events, proactively scheduling standard and recurring meetings;
  • Arranges all aspects of domestic and international travel for the President and provides detailed itineraries, including necessary meeting materials or other travel-related documents;
  • Schedules and oversees key leadership and monthly review meetings, composing agendas and meeting minutes to assist with accountability;
  • Composes professional correspondence including spreadsheets, memos, statistical information, forms and more that supports business development opportunities and a solid corporate image;
  • Manages all aspects of the RBI brand to ensure accuracy, professionalism and consistency;
  • Coordinates marketing efforts through print and digital media including business cards, marketing materials, corporate website, newsletters and social media presence;
  • Coordinates HR processes as necessary;
  • Supports Payroll processes as necessary.

Qualifications:

  • Bachelor’s degree or equivalent in Business Administration or 10 years in an executive assistant role supporting C-level executives, or the equivalent in education and experience.
  • Current Notary Public, or willingness to obtain notary status on behalf of company;
  • Human Resources management education would be an asset;
  • Payroll experience is desired.

Skills:

  • Solid MS-Office software skills to create, edit and modify files (Word, Excel, Outlook, PowerPoint);
  • Outstanding verbal, written and interpersonal communications skills;
  • A proven ability to work under pressure, meet deadlines and the demands of the job;
  • High level of accuracy and attention to detail;
  • Ability to work with all levels of the organization;
  • Ability to prioritize and adapt to changing priorities as necessary;
  • Ability to work in a fast-paced environment;

Language Skills

  • Strong communication skills, both written and verbal.
  • Must be able to read and interpret business correspondence and other documentation.
  • Must be able to create professional written correspondence and interact verbally with clients and staff.
  • Frequent communication (email, phone and face-to-face) with clients, team members and other staff is required.

Mathematical Skills

  • Proven skills to deal with and compute fractions, percentages, costs, gross margins and gross profit;
  • Payroll processes.

Software / Technical Skills

  • High level of proficiency in Windows Office Suite (Outlook, Word, Excel, PowerPoint);
  • Familiarity with accounting/payroll software (Sage, Foundations, Timberline, etc.).
