Executive Assistant Job Description
We are looking for an Executive Assistant (EA) to support an entrepreneur and founder. You will manage mostly business-related tasks, reporting directly to the entrepreneur and founder. Tasks such as creating reports, organizing travel and accommodation, taking minutes, and other organizational responsibilities will be required. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be tech savvy, be fluent on social media, be extremely fast at solving problems and have previous experience as an executive or administration assistant. A big part of this level of EA job is serving others. You may be asked to communicate to one of the Presidents or secretaries of a Board he sits on. You may also be asked to work alongside a VP of Operations on an upcoming event. This means going above and beyond your written EA job description to help others. Whether we are talking about scheduling meetings, booking travel, ordering lunches, submitting expense reports, or pitching in to help the HR lead finalize a project, your job is to serve. The role of this EA is to free the entrepreneurs time from organizing and administrative tasks so that he can spend maximum time on strategic tasks.
Job brief
We are looking for an Executive Assistant (EA) to perform a variety of administrative and organizational tasks. The entrepreneur is high energy, uber focused, loves his family, pushes hard to achieve kinda guy, and needs a right-hand person to tie up details, help support the teams he leads, and be able to have a great understanding of the business’s strategies.
The successful candidate for this position will have high character, discernment and discretion, be truthful and transparent, have a heart to serve others, and to be able to represent yourself, the companies, and him in the community with the highest level of professionalism. You should also be able to take the lead on miscellaneous initiatives that don’t fall under anyone else’s role. Knowledge of a productivity software like monday.com or Slack is a plus here.
Some of the tasks and job functions include managing calendars, making travel arrangements and preparing expense reports, format information for internal and external communication – memos, emails, and presentations.
To be successful in this role, you should be proactive, able to meet deadlines and communicate effectively, be well-organized, have great time management skills and be able to act without guidance. Our ideal candidate also has previous experience as an EA and is familiar with office management technologies.
Ultimately, you should be able to identify and address the needs of senior leaders and perform administrative tasks to ensure our company’s workflow runs smoothly.
Executive Assistant Responsibilities:
- Helping prepare for and organize meetings
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives
- Maintain customer confidence and protect operations by keeping information confidential.
