Job Summary: Manages the administration functions in order to increase the time available to the Director for prioritized responsibilities. Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department

Primary Tasks:
  • Composes written program correspondence to/and for the director to Choctaw Administration and Federal officers which requires knowledge of executive’s view, philosophy, and some understanding of technical matters, may sign for executive when technical or policy content has been authorized.
  • Manages the administrative functions of the office and uses considerable judgment and initiative to determine the approach or action to take in non-routine situations.
  • Act as liaison with other departments and outside agencies. Handles confidential and not routine information and explains policies when necessary to clients and eligible employers.
  • Manages special projects, which may include planning and coordinating multiple presentations.
  • Approve and audit participant records for accuracy and conformity to the Choctaw Nation PL 102-477 guidelines.
  • Updates and maintain participant’s records according to validated documentation.
  • Gathers program data, field observation, and a projection ledger of all funds spent in order to compile monthly data reports on participants,.
  • Conducts face to face or telephone interviews with participants in order to provide referral assistance and guidance toward career decision.
  • Other duties as assigned.
Required Education, Skills and Experience:

MINIMUM
  • Bachelor’s Degree or 3-4 years of directly related experience.
  • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Exhibits strong interpersonal skills, multitasking ability, and time management skills.
  • Ability to work independently with minimum direction and communicate quickly and effectively both orally and in writing.
  • Must have knowledge of and ability to work with appropriate hardware and software applications.
TARGET
