Position Summary

The Special Assistant to the CEO is a highly organized, effective, and articulate administrator, as well as a proactive problem-solver and multi-tasker. The Special Assistant will work closely with the CEO, but also provide support across senior management from time to time. The Special Assistant will work diligently to coordinate the daily workflow and priorities of the CEO and ensure overall functionality of the DC-based office, ultimately having significant impact by contributing to more efficient operations across the organization.


Position Responsibilities

  • In close collaboration with senior management team, support the CEO’s workflow and priorities through strategic handling of incoming requests

  • Provide general administrative support – including but not limited to scheduling, correspondence, travel logistics, and basic tech support – to CEO

  • Move CEO-led deliverables forward by assisting with information gathering and communicating with stakeholders

  • Ensure CEO preparedness by preparing meeting collaterals: talking points, speeches, research products, and internal and external communication

  • Work with Director of Strategic Partnerships to prioritize CEO’s external engagements, including assisting with communications and speechwriting

  • Prepare collaterals and background research for and coordinate follow-up from presentations, meetings, and other deliverables between CEO and high-priority stakeholders; attend meetings/calls as requested

  • Support Board operations: serve as primary POC for Board and Committee members and oversee all Board documentation

  • Assist in special projects across the organization, at the CEO’s discretion

  • Perform other duties and tasks as requested


Experience/Qualifications

  • Bachelors degree in a relevant field and one – two years work experience in program administration and/or international development; Masters preferred.

  • Advanced written and verbal communication skills

  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks amidst competing and shifting priorities, with excellent attention to detail

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

  • Resourceful self-starter with a sense of urgency in problem solving and achieving results

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

  • Proficient in Microsoft Office, G Suite, and other common business products/systems (i.e., Slack, Asana)

  • Ability to maintain a flexible, patient, positive, can-do mindset; ability to conduct business with composure, maturity, diplomacy, and discretion at all times

  • Experience working with individuals from diverse professional backgrounds, levels of seniority, cultures, and values

  • Experience staffing a principal preferred
