We are looking for a very seasoned Senior Executive Assistant who has at least 3-5 years of experience supporting the CEO of an organization as well as the COO and other senior level Directors. The individual is expected to be a master at being proactive in assisting the CEO with balancing all of their time and needs, managing calendars/meetings/phone calls, being the right-hand support for the CEO, fielding internal requests as well as working closely with high-level business executive and donors outside of the organization, and proactively supporting the needs of the senior leadership team.

This is a key position within the organization to ensure that the day-to-day operations runs smoothly and will be an integral part of helping to drive the leadership/development goals and ultimately, fulfilling the mission of the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Provides proactive executive business support by: reviewing emails, managing calendar and scheduling needs, providing read-ahead or other documentation prep and support for meetings, and confirming appointments
  • Answering phones (and handling calls, where possible), reviewing incoming mail, keeping up call sheet, filing, and acting as the CEO’s personal representative to both internal and external constituencies.
  • Anticipate future scheduling or other business needs of the CEO or other senior leadership. Organize CEO’s workload to achieve major corporate initiatives. Augment time management for CEO, other Director’s and self.
  • Provides support for development/fundraising processes by imputing fundraising activities into CRM system, assisting with correspondence to donors, ensuring timely and accurate thanking and receipting of gifts.
  • Corresponds with Executive Committee, Development Board, and At-Large Board, as needed for specific support necessary. Additionally, participate in supporting the needs of organizational annual strategic planning as well as taking ownership for the bi-monthly All Staff Meetings.
  • Stay on the leading edge of specific business issues and needs for the organization in order to truly partner with CEO and become the right hand to ensure the organization is always in good standing with donors and any other partnerships . Provide guidance, direction and information to employees and supervisors on specific situations that may arise.
  • Initiate and implement system improvements and workflow processes for incoming requests and needs from both those inside and outside of the organization. Create communications for any organizational needs or initiatives using methods such as PowerPoint, linked documents and spreadsheets.
  • Coordinate and arrange all other organizational meetings as needed, prepares agendas and utilizes various technology applications for presentations, spreadsheets, and other materials necessary. Also reserves and prepares facilities, records and transcribes minutes of meetings, and completes any follow up items necessary.
  • Handle or manage the delegations of administrative office support needs to the office staff interns when they are available for the preparation of outgoing mail and correspondence, including e-mail and faxes and forwarding internal communication to appropriate personnel. Additionally, oversee or handle directly the ordering, maintaining, and organizing of office supplies, kitchen/coffee supplies, other common area or cleaning needs.
  • Manage the needs for the facility to include general repair and maintenance of interior décor, kitchen machine repairs, parking area, security and cleaning service. Handle vendor negotiations relating to these areas.
  • Coordinate, manage, and schedule office events. Order catering services be the point person for any and all office meeting needs, act as the lead for all set up and tear down of organization events and assist in setting the tone for carrying out our organizational values as it relates to the utilization of our facilities.
  • Help create, maintain and project the Corporate Administrative budget. Assemble CEO’s expense reports. Organize and maintain file system, organizational library, and files correspondence and other records.
  • Change and coordinate travel schedule and reservations; keep CEO’s calendar updated with all travel details. Additionally, fully manage the communication systems (MS Teams, Organizational SharePoint, Master Calendar, and other communication/systems needs)
  • Conduct research as needed and anticipate needs while clearly communicating and meeting with CEO on a daily/weekly basis in order to stay in stride with the needs of the CEO, other Director’s, and the organization.
  • Assist day to day operations, as needed, to provide support to leadership team and perform other duties as assigned.

Job Type: Full-time

Salary: $55,000.00 to $65,000.00 /year
