Full Job Description
The Property Manager is fully accountable for all day to day service center operations.
Objectives will include maximizing occupancy and rental income.
Duties & Responsibilities:
YARDI Voyager 7S experience is required
- Conduct all business in accordance with company policies and procedures, Fair Housing Act, Americans with Disabilities Act, and other laws pertaining to multifamily apartments.
Human Resources:
- Instructs, motivates, delegates tasks and supervises all on-site office staff. This includes new employee orientation and training, ongoing formal and informal performance evaluation and review and approval of time sheets. * Conducts, or delegates and monitors, on-going training as needed with office staff, including The Procedure Manual policies and procedures, lease application processes and lease contracts and addendum’s. * Provide comprehensive feedback to non-performing on-site office staff. Facilitates disciplinary procedures, improvement plans and documentation up to and including terminations of employment if necessary. * Conduct office staff job candidate interviews, per interview policies, and follow-up with contacts and documentation of personal and prior employer references. * Conduct initial on-boarding processes including Employee Hand Book Review, IRS Forms and U-Attend setup for all new on-site staff including both office and maintenance employees.
Marketing / Leasing:
- Physically inspect property daily and vacant units weekly, report all service needs to Maintenance Supervisor. * Monitor and update site specific internet advertising (ex. Craigâs List) on a daily basis. * Answer or respond, as soon as possible, to all incoming phone calls and e-mails from prospects and residents and record all telephone, e-mail and in-person visits on appropriate reports and guest cards according to established procedures. * Pre-qualify prospects to find out their needs and preferences and ask for an appointment to demonstrate community and apartment features and benefits; close the sale on-site. * Ask prospect to complete an application and secure application fees. * Process applications for approval (i.e., credit check, rental history, etc.) and submit processed applications to Financial Accounts Manager for approval. Follow up with applicant regarding application status, create approval letters and collect reservation fee. * Update status report and application status report in a timely manner. * Follow up on all traffic, add complete notes daily to the traffic log. * Ensure apartment is ready for resident move-in on agreed date. * Conduct move-in and move-out inspections with residents. * Secure new resident signature(s) on appropriate paperwork prior to move-in. Orient new residents to community. * Conduct quarterly market competition surveys. * Represent the company in a friendly professional manner at all the times.
Administrative:
- Ensure that lease files are complete and that completion of leases and renewals are being executed properly. * Communicate challenges affecting the operation of the property to the Supervisor in timely manner as needed. * Ensure all calendar activities are conducted in a timely manner to meet deadlines. * Accept rental payments (no cash or money orders with the exception of money orders for app fees), break down payments and deposit the following business day. Send report to Financial Accounts Manager. * Consistently implement policies of the community. * Attend company meetings as needed, conduct a mid-month property status meeting, in collaboration with maintenance supervisor, with on-site office and maintenance staff, to review property status, i.e., occupancy, conditions, status report, etc. * Responsible for office opening on schedule and maintaining a clean and tidy office and service center.
Maintenance:
- Contact on-site Maintenance Supervisor / Staff immediately if an emergency work order is received, and if necessary contact authorities and be present. * Input maintenance requests into the Maintenance immediately upon receipt as well as create a work order.
Resident Relations:
- Receive telephone calls and in-person visits. Listen to resident requests and concerns. * Follow up with resident when work orders are completed by Maintenance Staff. * Contribute to cleanliness and curb appeal of the community on a continuing basis. * Assist in planning resident functions, with prior approval. Attend functions and participate as a host. * Contact residents whose leases will soon be expiring to increase retention. * Review all notices to vacate upon receipt, contact each resident in an attempt to retain and determine the cause of the move-out.
Essential Job Functions:
- Demonstrate an ability to support and contribute to community team. * Demonstrate strong oral and written communication skills; as well as multi-task. * YARDI Voyager 7S experience is required.Operate telephone, laptop, IPad, Microsoft Office Word & Excel. * Ability to be mobile. Must possess a positive attitude and the ability to smile under all circumstances. * Participate in training in order to comply with new or existing laws. * Neat, clean, professional at all times throughout the workday and/or whenever present at the community. * Comply with policies, rules and procedures of the company, including those set out in the Employee Handbook, Procedure Manual or otherwise communicated verbally or writing. * Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem. * Successfully pass drug test.
