The world’s leading private security organization, G4S, has an immediate job opportunity for a Manager, Shared Services. As a Manager, Shared Services, you will be responsible for the overall for invoicing, billing and financial reporting for a particular account. This position will coordinate will all locations to ensure overall compliance with the contract financials. This position is also responsible for the day-to-day office functions of the facility. The Shared Services Manager is accountable for serving clients, staffing, reporting, and procedural and company policy compliance. Shared Services Manager must oversee and ensure accuracy in billing, payroll and collection for services delivered. Provide support to the General Manager in developing positive working relationships with employees and clients alike.

The Manager, Shared Services is the primary point of contact for all office functions pertaining to the overhead personnel and is responsible to the General Manager for the effective and efficient operations of the office. In addition, this position is responsible for continuously improving their span of control by providing quality service to our clients. The Manager, Shared Services Manager is responsible for ensuring that office accounts are operated in a manner consistent with established policies, contracts, and applicable laws and to maintain strong client relationships.

Main Responsibilities

Specific Duties and Essential Functions

Utilize sound financial management principles and continual review of appropriate management information reports (e.g. Profit and Loss, Job Profitability, budgeting, collections)

Evaluate and validate worker competency of employees within span of control

Purchasing, ordering supplies, scheduling vehicle maintenance, ordering Purchasing Orders

Manage Accounts receivable and Payable

Set up Contract information in PeopleSoft

Manage and continuously develop subordinates to which are direct/indirect report to ensure established fincial goals and relationships are maintained and obtained

Interact with all levels of management to ensure successful daily operations are met

Ensure that G4S contract requirements, training and development have been followed and payroll is posted on time

Address any issues, provide feedback to ensure that the needs of each individual client are heard and are being met

Manage processes to ensure the local team attains established payroll reconciliation, supply management, and client/vendor financial relationship goals

Oversee annual review of existing contracts

Document, revise and advice action plans to improve Supply management, Spending and min/max supply levels

Attend weekly meetings with Operations Management, Human Resource Management, and labor scheduling to align organizational goals

Maintain frequent and positive contact with subordinates, customers and the public to ensure interactions are align with the G4S core values

Manage vendor relationships and execute any local procurement to ensure that the office has the required support to accomplish all tasks

Ensure that payroll reconciliation is done according to G4S pay schedules so payroll for employees will be posted on time

Review Key performance indicators on a day-to-day basis to maintain control over operations

Coordinate with Human Resources and Labor scheduling on new hire availability, qualifications and schedule as needed

Conduct all asset and fleet management requirements to ensure that all daily operations are met, and the company provided assets are in a high state of readiness

The Ideal Candidate

Education, Licenses and Certifications Required

Must possess a high school diploma or equivalent

Must possess one or more of the following:
Bachelor’s Degree in Finance, Accounting, Business, or related degree, or related degree combined with at least 1 year of office administration experience to include direct payroll/billing/invoicing experience

Associate’s Degree Finance, Accounting, Business, or related degree, or related degree combined with at least 3 years of office administration experience to include direct payroll/billing/invoicing experience

High School diploma or equivalent combined with at least 5 years of office administration experience to include direct payroll/billing/invoicing experience​

Type and Length of Specific Experience Required

Prior management or supervisory experience in office administration or related field

Prior collection experience for services or goods delivered

Work experience to include demonstration of:
Proficiency in Microsoft Excel and Word and in automated payroll applications such as the PeopleSoft Human Resources

Knowledge of and experience with time and attendance tracking

Experience managing a team in attaining established payroll reconciliation, supply management, and client/vendor financial relationship goals

Excellent skills in mathematics, reading comprehension, and oral and written communication

Working knowledge of the Fair Labor Standards Act (FLSA) and other employment related laws

Ability to clearly read, compile and interpret business reports and use extrapolated data to proactively effect financial budgets and other goals

Knowledge of fleet and asset management

Knowledge of B&O tax and business licensing processes

Physical Requirements and Environment

Environment: Office; minimal to no exposure to extreme temperatures is expected

Major activity: Working on PC while sitting; telephone use
