Who are we?
CASCO Contractors is a leading Orange County Commercial Tenant Improvement construction company, OCBJ’s Best Places to Work for 2018 and 2019 and a WBE (Women’s Business Enterprise). Our significant growth is prompting our search for an effective and resourceful assistant to our top executives to make them more effective, organized and able to build even better relationships with employees and clients!
Great candidates for Casco’s Executive/Personal Assistant role enjoy employing quick thinking problem solving where every day is different from the last! You enjoy working with calendaring, events, being the “Johnny” or Jane on the spot to make our executives look good! If you’ve supported highly functioning executives who are often overscheduled, you intuitively understand the big picture and can help them leverage their time and skills for the most fruitful results. The day promises to be busy and you love being productive. We sure can use your enthusiasm and abilities as CEO/COO Executive/Personal Assistant at Casco.
What Can You Expect?
As Executive/Personal Assistant, you’ll continue our culture of dynamic results as you support our executives’ capabilities with a cool demeanor, calm professionalism, and confident decision-making. This is a role for someone who can think for themselves, think three steps ahead, and aren’t afraid to make decisions to get things done which WILL include a fair amount of what some people would call “personal” assistance. The ideal candidate understands and embraces that supporting busy executives often means there often is no clear dividing line between work and life for our busy executives and enjoys being the linchpin for success – call it with personal or executive obligations.
Your role includes, but is not limited to the following responsibilities and as trust develops, you will be involved in many more aspects of our business (and lives!):
· Calendaring meetings, creating agendas, and tracking deliverables from staff for internal meetings.
· Tracking current projects, lost bids, associated business development activities that include arranging meetings, lunches, client gifts, notes and email correspondence.
· Support Casco’s branding in the charitable giving space.
· Working with Executives to define and execute company events.
· Keeping our executives at the top of their game and health by meal planning, exercise scheduling, holiday decorating, and social calendar scheduling.
Our ideal candidate has these skills
· You are open and flexible; changing gears in the middle of the stream does not frustrate you but instead, you look forward to the challenge.
· You have above average MS Office skills, are skilled with creating PowerPoint presentations, can use Excel for scheduling, tracking and database management and know your way around most software (and can learn new ones quickly).
· You love social media and have worked in and around it. Posting updates is no big deal for you!
· Your professional grammar, writing and communication skills are above reproach.
· You are able to work with all levels of people, from laborers to Board members
· You are a team player and have a high level of EQ.
· Running errands, picking up last minute gifts, or picking someone up at the airport is fine by you (we reimburse mileage).
· Able to be supportive and involved in coordinating personal arrangements which could include vacation travel, interacting with family members and personal events.
· Intuitive and able to morph to a wide range of situations.
· This is a salaried position with some flexibility to make up for significant after hour events that could include attending community and charitable events, troubleshooting various catering and set-ups, meeting and greeting vendors and clients and generally acting as the face of Casco when needed to support the executives.
