As the Executive Assistant to Dr. Giovanni Colella, you will be totally dedicated to his business and personal needs. Dr. Colella is a physician and a successful serial entrepreneur, who is currently the co-founder and Executive Chairman of two companies, OODA Health, and Emilio Health. He is also an investor, public speaker, and last but not least important a family man who prioritizes above anything else time with his family. He travels extensively, domestically and internationally, and has a very packed professional life. This is an exciting position, very well compensated, which offers exposure to high profile executives, conferences and meetings. Emilio Health is named after his father, Emilio, who spent his life fighting mental illness and lost his battle and committed suicide. Emilio Health is providing mental health care for children, adolescents, and their families. Dr. Colella co-founded the company, with the vision of making sure that no children in America who have emotional challenges go without help.

OODA Health was founded with the mission of creating a healthcare system liberated from waste, a system where doctors don’t have to spend their time preoccupied with billing patients but dedicate themselves to providing superb medical care. Patients shouldn’t worry about receiving confusing bills, lack of transparency and collection agencies, but can focus on getting better and taking care of the people they love.

As Dr. Colella’s Executive Assistant, you will:

  • Provide executive support in a one-on-one working partnership with Dr. Colella.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to his companies.
  • Serve as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects.
  • Work under pressure at times to handle a wide variety of activities and confidential matters with complete discretion.
  • Work independently on projects, from conception to completion.
  • Complete a broad variety of administrative tasks for Dr. Colella including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plan, coordinate and ensure Dr. Colella’s schedule is followed and respected.
  • Acts as “gatekeeper” and “gateway”, creating win-win situations for direct access to Dr. Colella’s time in and out of the office.
  • Communicate directly and on behalf of Dr. Colella with Board members, donors, foundation staff, and others, on matters related to Dr. Colella’s programmatic initiatives.
  • Research, prioritize and follow up on incoming issues and concerns addressed to Dr. Colella, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
  • Provide a bridge for smooth communication between Dr. Colella’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Work closely and effectively with Dr. Colella to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense of the issues taking place in the environment and keeping Dr. Colella updated.
  • Provide leadership to build relationships crucial to the success of the organization, and manage a variety of special projects for Dr. Colella, some of which may have organizational impact.
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate Dr. Colella’s ability to effectively lead his companies.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Assist board members with travel arrangements, lodging, and meal planning as needed.
  • Adhere to applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
  • Assist in coordinating the agenda of senior management team meetings and off-sites.
  • Follow up on contacts made by Dr. Colella and support the cultivation of ongoing relationships.

Required Skills:

  • Proficient in G-Suite and Microsoft Office, Adobe Acrobat, and Social Media web platforms.
  • Expert-level written and verbal communication skills.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
  • Fluent in Italian a plus, but not required.

Required Experience:

  • Five to ten years supporting C-Level Executives.
  • Strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
  • Experience and interest in internal and external communications, partnership development, and fundraising.
  • Demonstrated experience achieving high-performance goals and meeting deadlines in a fast-paced environment.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
