Role:

In this role you will provide top level Executive Assistant support to the CEO in managing all aspects of the CEOs office. Working closely with ServiceNow’s leadership team, clients and other internal and external parties, the Executive Assistant serves as the primary point of contact on all matters pertaining to the CEO.

This position requires an ability to prioritize and accomplish a high volume of important, highly sensitive and confidential information and activities simultaneously. Precise attention to detail, coupled with creative problem solving and superior communication skills, is required.

This position reports to the CEO. It is based in Santa Clara, CA and works across ServiceNow’s 80 locations in 29 countries globally. Domestic and international travel may be required.


What you get to do in this role:

  • Provide overall administrative support directly to CEO; assist with daily administrative duties and complete a broad variety of tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
  • Manage the CEOs schedule and all appointments; arrange hotel, travel, meal and other items for clients and other guests of the CEO both domestically and internationally
  • Manage staff and departmental meetings including off-sites; confirm attendees and manage agenda and logistics
  • Work with Board Members and Investors coordinating meetings and material
  • Ensure timely preparation and delivery of all briefing information for all meetings
  • Communicate regularly with internal and external customers, prospects, partners, and vendors while exhibiting the highest degree of professionalism, courtesy and diplomacy
  • Ensure and maintain confidentiality of all appropriate communications and documentation.
  • Prioritize and assign all incoming written and oral communications, when necessary, to appropriate person(s) for response
  • Organize and manage all travel arrangements including agendas, flights & hotel details
  • Coordinate with PR on company communications and support the CEO in external commitments related to ServiceNow, including speeches, committees and other groups
  • Work with little or no supervision, while significantly increasing the CEO’s productivity
  • Occasionally work flexible hours, including the occasional weekend, early morning or evening hours as the Global CEO’s travel or schedule requires

Experience & Education:

  • 10+ years’ experience as an Executive Assistant to C level executive
  • Excellent writing, editing, grammatical, organizational and research skills
  • Proficiency in Windows, including MS Word, EXCEL and PowerPoint
  • 4-year college degree preferred
