The Executive Assistant will provide administrative support to the Pernod Ricard North America Chairman and CEO in the execution of highly confidential, complex and sensitive matters. This position functions as general ambassador interface between the CEO and other departments and external contacts. Your proactive assistance in this fast-paced environment will be capitalized on. Responsibilities include calendar management; document and presentation production / editing; travel logistics; preparation for external meetings and luncheons; expense report and purchasing processing; tracking; and general filing. The Executive Assistant will collect, coordinate and maintain confidential and sensitive information. Responsibilities include, but are not limited to the following activities:

  • Heavy calendar management, ambassador/gate keeper, complex travel arrangements, expense report reconciliation, develop itineraries, event coordination, meeting agendas and materials, take meeting minutes and notes.
  • Perform diverse administration functions requiring strict confidentiality, initiative, and sound judgment; operates with discretion and tact.
  • Key characteristics include: customer service focused, proactive, flexible, approachable, patient, courteous, tactful and diplomatic.
  • Frequently prepares and creates complex presentations taking advantage of appropriate software programs and available audio and video equipment.
  • Ensures presentation is appropriate to meet the needs of the subject matter, the presenter and audience. Takes advantage of latest technology, using both inside and outside resources.
  • Responsible for answering phone calls, reviewing incoming correspondence, mail, organizing and preparing confidential pre-read and correspondence for executive meetings.
  • Work with CEO to set priorities and help manage their time to stay aligned with the priorities set but be adaptable to competing and changing demands.
  • Coordinate travel for executive flights, hotels, rental cars, car transport, etc.
  • Foster positive and productive collaboration with other Executive Assistants, staff and Executive team.
  • Interface professionally with all levels in the organization.
  • Perform other miscellaneous job-related duties and tasks, i.e., arrange catering for meetings.

Basic Qualifications:

  • 8-10 years of experience supporting the C-level executive strongly preferred
  • Possess a high degree of emotional intelligence
  • Excellent communication, grammar, and proofreading skills, both oral and written
  • Ability to strategically prioritize tasks and projects
  • Highly proficient in Outlook, Word, PowerPoint, and Excel
  • Demonstrated strong attention to detail when working through complex tasks.
  • Must be highly organized
  • Proven ability handling sensitive matters with integrity & discretion
  • Occasional availability out of hours to handle priority business and crisis situations
  • Minimal travel, but may at times be required
