What you’ll be doing:
- Be a partner to the CEO and help leverage the CEO’s time by performing various duties based on the shifting and growing needs of the CEO and the company
- Participation in program management which involves duties on a regular weekly, monthly and quarterly basis as well as project management for strategic and ad hoc initiatives
- Performing diverse, advanced support duties including: coordinating strategic business projects and helping to guide them to completion; managing an extremely active calendar of appointments; composing and preparing correspondence; arranging complex and detailed travel arrangements; meeting/event planning and preparations; interaction with all levels of the organization as well as a wide range of external parties; and handling/coordinating confidential and sensitive information
- Act as an ambassador/gatekeeper to the CEO, ensuring he is kept informed of upcoming events, commitments and responsibilities with appropriate and timely follow up
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follows through to successful completion, often with deadline pressures
- Handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Create documents in support of meetings/conference calls, including presentations, reports, and proposals
- Plan and coordinate CEO’s schedule, including judgment calls for meeting presence and travel requirements
- Attend key staff and team meetings as required, preparation of agenda and meeting minutes as needed. Independent follow-up on action items from meetings
- Coordination of CEO s corporate credit card(s) including preparing and reconciling CEO travel and expense reports
- Support of executive team
- Other ad hoc duties as and when requested
What you already have:
- A Bachelor’s Degree and a minimum of 5 years in a support role, 3 working with a senior executive
- Strong project management skills
- Proven track record of meeting deadlines and successfully managing administrative processes and projects.
- Expert level written and verbal skills
- Proven organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Full proficiency with MS Office Tools (i.e. PowerPoint, Word, and Excel)
- Confidence in learning new technologies
- Very strong interpersonal skills and the ability to build relationships with various internal and external stakeholders, including other executives, staff and board members
- Sharp business judgment, ability to see “big picture” and to prioritize, while working independently, yet asking for help when necessary
- Self-starter who enjoys finding ways to improve things without direction
- High energy, strong work ethic, disciplined execution skills, willingness to do whatever it takes to deliver results
