JOB OVERVIEW
This Executive Assistant/Research Analyst position will support the Chief Operating Officer (COO) of WGBH, performing key administrative functions as well as business research and analysis. This role requires initiative and sound decision-making with the goal of achieving clear communication, efficient office operations, research support, and effective assistance to the Chief Operating Officer. In addition to assisting the COO, a key component of this role will be independently researching trends in the media industry to enable the COO and other executive leaders to stay apprised of key industry issues, initiatives and events. The successful candidate must be able to develop research strategies, conduct research, curate numerous materials, and provide concise and relevant summaries and analyses to the COO and other executive leaders. Some data analysis of business operations will also be required. This person will be a leader among peers for the Executive Suite support staff and a key resource for those working with the COO, including leaders in Finance, IT, Legal, HR, and the office of the President and the COO. WGBH is seeking a highly detail-oriented, analytical, experienced and talented professional who thrives as a self-starter and problem solver. This challenging and fast-paced position will require regular contact with WGBH staff, Board members, Boston business leaders and key representatives of our public media communities (PBS, CPB, NPR, etc.). Trustworthiness, discretion, confidentiality, poise, flexibility and a solutions-based approach to addressing problems are required. S/he must be an excellent communicator (written and verbal), a strong organizer, team player, have superior interpersonal skills, expert computer skills, and use sound independent judgment to keep projects on track.
S/he must be able to work independently and proactively on multiple, concurrent deadlines with limited direction and execute assignments with a sense of urgency. The ideal EA candidate must be able to interact diplomatically with a wide range of people in a collaborative fashion, exude grace under pressure and professionally represent the Chief Operating Officer and our organization
RESPONSIBILITIES
- Manage COO’s calendar, providing organized, accurate, proactive scheduling of meetings, which are often fluid and changing. Provide logistical support when needed for larger or more formal meetings. Make impeccable travel arrangements for the COO. Ensure prompt and orderly processing of expense reports, documents, correspondence, internal reports, and other transactions according to standard and approved procedures. Create reports, correspondence, presentations, etc.
- Serve as operational liaison with WGBH vice presidents, department heads, and staff; with leaders and other contacts at other public media organizations; with members of our Board of Trustees and Community Advisory Board; and with the general public, as needed. Work with the CFO, the Vice President of Financial Planning & Business Services, and the Chief of Staff & Senior Director of Board Relations to plan and execute logistical aspects of meetings of the WGBH Boards, and related committee meetings.

Working with the COO, identify areas of research on current media topics of relevance and interest to the COO and other executives. Conduct research and analysis from newspapers, journals, TV, radio, podcasts, digital and other media and sources. Provide COO with regular summaries and updates of research topics in the best format for clearly conveying the material, whether that be via Word, PowerPoint or Excel, to disseminate to other executives and Board members. Create presentations to support strategic planning and other strategic projects and initiatives.

Review financial and other business data as needed.

On occasion, provide on-site support for large group meetings and events (some of which will be in the evenings or on weekend days). Other duties as assigned.
SKILLS & EXPERIENCE
- The successful candidate will have experience as a C-level executive assistant or comparable equivalent.
- S/he will have strong proficiency with PowerPoint and Excel, will have high professional standards, an exemplary work ethic and an openness to learning new skills as required.

The successful candidate will have experience providing high-level administrative support in a fast-paced office, preferably to a C-level executive.

S/he will also have experience researching, either through academic study or job-related, with strong research and writing skills.

Proficiency with PowerPoint, Word and Excel also required.
