Overview
Provides direct administrative support as well as functioning as the primary contact for the Chief Executive Officer.
Responsibilities
Daily Duties:
- Manages the CEOâs calendar and schedules appointments
- Screens incoming calls and correspondence and responds independently when possible
- Prepares agendas, notices, minutes, and resolutions for corporate meetings
- Prepares the CEOâs expense reports and reconciles corporate credit card account(s) as necessary
- Maintains confidentiality of all corporate and personnel matters
- All other duties as assigned
Administrative:
- Performs complex and confidential administrative functions including, typing memos, purchase requisitions, payment requests and other department forms and documents
- Organizes events and meetings by scheduling and arranging facilities and caterers
- Creates and maintains database and spreadsheet files
- Arranges complex and detailed travel plans and itineraries
Qualifications
KNOWLEDGE, SKILLS AND ABILITIES:
- Must be exceptionally motivated with a high level of energy
- Must have excellent interpersonal skills and a strong demonstrated ability to work in a team environment
- Possess strong organization and computer skills
- Demonstrated ability to prioritize tasks and information quickly and efficiently, as well as being able to multi-task
- Exhibit excellent dependability and ability to maintain confidentiality
- Very strong computer skills, such as Microsoft Word, Excel, Outlook and PowerPoint
REQUIRED EXPERIENCE, EDUCATION, AND LICENSE:
- Bachelor’s degree from an accredited college or university
- Minimum of two (2) years of experience as an Executive Assistant
PREFERRED EXPERIENCE, EDUCATION, AND LICENSE:
- Proficiency with MS Office Suite (Word, Excel, and Outlook)
- Excellent computer skills and the ability to learn new computer programs efficiently
- Bilingual English/Spanish language skills
