JOB SPECIFICATIONS:
Education:
Associate’s Degree, Bachelor’s preferred.
Experience:
Five (5) years experience in office management and executive support
OFFICE MANAGEMENT
Overseeing and providing direction and support to Executive Assistants and Receptionists, including hiring, scheduling, payroll and collaborating with Administrators on workloads, job performance and evaluation.
Developing and recommending procedures and processes to improve productivity and efficiency within the department.
Ensuring office supplies and equipment are available as needed.
CHIEF EXECUTIVE ASSISTANT TO THE CEO
Coordinating and supporting meetings which the CEO participates in, including setting agendas and outcomes before the meeting, attending meetings with the CEO, and tracking follow up/progress after the meeting on behalf of the CEO.
Managing CEO’s time and calendar, in conjunction with Executive Assistant, by understanding priorities, anticipating needs and avoiding scheduling conflicts.
Serving as liaison to Board of Directors, including coordinating meetings and new director orientations, preparing agendas and presentations, maintaining minutes and other corporate documents and filing annual report with the secretary of state.
Working closely with members of leadership team to execute and follow-up on various tasks and initiatives outlined by the CEO.
Collaborating with Marketing on CEO’s speeches/talking points, presentations and external messaging
Serving as an ambassador/liaison to the CEO to both internal and external stakeholders when appropriate.
Composing, preparing and editing correspondence, reports and presentations for the CEO, often as a complex and confidential task.
Coordinating travel, preparing expense reimbursement requests for CEO, and obtaining approval from LCMC CEO as needed.
GENERAL
Complies with annual competencies and educational assignments.
Performs and assists with special projects and duties not listed in job description.
Contributes to the team effort by offering to assist others and recommend changes to improve productivity and job performance.
