Our busy, client-focused office needs a reliable, well-organized Office Manager to handle the day-to-day operations with a focus on efficiency and time management. We are looking for an energetic professional who doesn’t mind wearing multiple hats. The Office Manager will be responsible for daily operations of the Accounting, Human Resources, Recruiting and Office Management functions.

Accounting:

  • Performs the monthly, quarterly and annual accounting activities including reconciliations of bank and credit card accounts, coordination and completion of annual audits and reviewing financial reports/support as necessary
  • Analyze and report on financial status including communicating financial results to management, budget preparations and analysis
  • Oversee taxes and abide by federal regulations
  • Responsible for printing checks and managing deposits
  • Accountable for all accounts payable, receivables, and bookkeeping, including property and casualty insurance oversight, processes, and compliance
  • Improve systems and procedures and initiate corrective actions
  • Assists leadership/ownership with necessary audit processes and external vendor relationships

Human Resources:

  • Manages the administration of the human resources policies, procedures and programs
  • Carries out responsibilities in the following functional areas: HRIS, employee relations, training and development, benefits, 401K, compensation, organizational development, company handbook, employment verification, E-Verify processes, workers’ compensation, and annual compliance training
  • Responsible for biweekly payroll, including all benefit transactions, 401k transactions, payroll taxes, and workers’ compensation
  • Acts as liaison between employee and management to answer questions or concerns regarding company policies, practices and regulations
  • Processes, verifies and maintains documentation relating to HR activities such as staffing, training and performance evaluations
  • Accountable for all on-boarding and off-boarding of employees
  • Serves as a direct contact to new/current employees and provides answers to questions or concerns based on the Company Handbook and employment laws/regulations
  • Manages employees’ paid time off requests and expense reports
  • Trains employees on Company and human resources policies, practices, and processes
  • Maintains strict confidentiality of employee and Company information

Recruiting:

  • Recruits for all positions on the team through job postings, lead generation, prescreening and facilitating interviews
  • Identify cost effective recruitment strategies including direct email, social media, advertising, state/national boards, internet sites, job fairs, and other applicable recruitment sources
  • Responsible for the pre-employment process; reference checks, drug testing, and criminal background checks
  • Extend verbal and written job offers within FLSA/DOL requirements and budgeted guidelines
  • Establishes local network and interacts with external recruitment sourcing avenues, agencies, and professional groups for networking opportunities and Company/key position growth

Office Manager:

  • Coordinates and monitors office operations to ensure Company requirements are sufficiently met on a daily basis
  • Maintains the office supply inventory and orders additional supplies as necessary, including snacks/other vending
  • Collects and sends mail
  • Organizes all local and out of state business events
  • Ensures the efficient operation of all office equipment, arranges for routine and necessary maintenance as needed
  • Coordinates travel and meeting arrangements, including flight, hotel and car rental reservations for self/leadership

Minimum Qualifications & Experience:

  • Bachelor’s degree in Human Resources or related field
  • Minimum three years Human Resources experience
  • Minimum three years technical recruiting experience
  • Minimum three years office management experience
  • Minimum three years accounting experience
  • Ability to work with minimal supervision
  • Proven success with the following behaviors: Detail orientated, organizational skills, time management, exercise good judgement, confidentiality and proficiency in multi-tasking
  • Proficient in Microsoft Office Word, Excel, Power Point and Outlook; Microsoft Access a plus
