The Assistant oversees some of the day-to-day operations of the business and any other duties as assigned. Will Performs administrative duties for management, support and coordinates multiple office activities. Sensitivity to confidential matters is highly required due to the classified nature of the information. The assistant is a part-time position responsible for clerical. Need to be motivated and flexible, self-starter with computer experience. Be organized and communicate frequently with the staff. Have a positive attitude at all times with a sense of urgency.
Responsibilities/Duties:
ü Coordinates and manages initial greetings of clients, receiving incoming phone calls and schedule appointments.
ü Call prior clients for feedbacks and survey, give updates on their cases, return and projects.
ü Use Microsoft Office to process, to create spreadsheets and presentations, and filing.
ü Do Internet research sometimes as required.
ü Bookkeeping and minor accounting spreadsheet work such as tabulation.
ü Maintain the office appearance clean and presentable as supposed to be.
ü Organizing and ordering office supplies when necessary.
ü Handle complaints professionally and refer clients to the individual who can assist them.
ü Perform most office administrative requirements, Plan and organize any activity for the office as required.
ü Maintain historical records by filing/achieving documents.
ü Prepare reports by collecting, analyzing, and summarizing account information and trends.
ü Comply with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.
ü Contribute to team effort by accomplishing related results as needed.
ü Act as a contact person with director/Technical support/ others.
ü Perform any other duties that seem fit, or assigned.
Education Requirement:
The minimum educational requirement is High School Level/GED.
