JOB DESCRIPTION:
Job Title: Assistant to the President/CEO :
PRIMARY FUNCTION/PURPOSE: The Assistant to the President is an integral component of the company’s infrastructure. In this role, the employee works hand in hand with the President/CEO in matters related to the agency as a whole. The assistant to the president directly supports the President/CEO, acts as a liaison to the Board of Directors, and works with the company’s legal counsel.
The position is demanding and suited for a candidate who is accustomed to a fast paced work environment and can interact adeptly with a variety of professions.
DUTIES & RESPONSIBILITIES:
· Represents the President/CEO in all aspects of his/her job duties.
· Supervises the central administrative assistant.
· Acts as the liaison between the agency and the Board of the Directors. He/she is responsible for keeping minutes for all Board meetings and conference calls.
· Represents the President/CEO by welcoming visitors, reviewing correspondence; arranging meetings and other agency functions; answering questions and meeting requests directed to the President/CEO. · Arranges corporate travel and meetings by developing itineraries and agendas; scheduling transportation; booking other transportation; arranging lodging and meeting accommodations, as needed.
· Communicates with city and state funding agencies.
· Ensures accurate record of other vital communications by scribing meeting minutes.
· Acts as the liaison between the President and the agency’s attorney’s, tenants, landlords, community boards, and other vendors.
· Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans when needed.
· Manages the President’s daily schedule, alerting of any schedule conflicts in advance.
· Assist the President in agency administration and human resource activities, including staff timekeeping and time-off requests, purchasing orders and requisitions, vendor management, consulting agreements, event planning, development activities, and ensuring agency compliance with regulatory agencies and requirements.
· Provide auxiliary support to programs under the auspice of the President/CEO.
· Triage requests through Central, in conjunction with the Executive staff and Human Resource Department.
POSITION REQUIREMENTS:
Education: Master’s Degree
Experience: Strong work tenure: 5+ years of relevant experience.
Experience supporting Executives, preferably in a non-profit organization.
Knowledge:
· Broad knowledge and understanding of legal, financial and real estate contracts and matters.
· Excellent writing and oral communication skills.
· Must be detailed-oriented and able to work in a fast-paced environment.
· Must have the ability to balance multiple priorities and to work independently
· Must be highly computer competent; proficient in Microsoft Office programs, including Word, Excel
and PowerPoint.
· The ability to make informed decisions under pressure.
· Strong organizational skills.
Other Requirements:
He/she must demonstrate strong leadership skills, have the ability to work with little supervision, possess excellent time management and organizational skills, and being able to meet hard deadlines. The candidate must be able to maintain confidentiality and possess the ability to display appropriate judgment in escalating issues and concerns to the next level of management.
The ideal candidate will conduct him/herself in a professional manner, whether within the confines of the agency or in the course of intra-agency work. The individual’s conduct must enhance the promotion and support of the agency’s interests.
