Position summary:
The Business Manager is responsible for managing the business affairs of the church in the areas of financial accounting and reporting, donor contributions, database management, human resources, technology, insurance, legal and tax compliance, risk management, and any other administrative functions necessary to support the work of church leadership. The Business Manager works closely with the church treasurer, the preschool director, and the senior pastor, and oversees other church administrative staff.
Position responsibilities:
· Financial (for the church, preschool and other church ministries)
o Financial transactions and reporting for combined ministry budgets of over $1.5 million
o With the church treasurer, maintain accounts and relationships with banks and brokerages
o Monitor adherence to budget; prepare monthly management reports and financial statements.
o Oversee the counting, recording, and confirmation of all offerings and receipts, including gifts of stock and non-financial gifts.
o Administer all forms of electronic giving to the church
o Administer payroll, including all payroll tax payments and statements.
o Assist with the preparation of the annual budget/ministry plan
o Manage multiple corporate credit accounts
o Serve as preschool treasurer
o Maintain an inventory of church fixed assets
o Maintain church financial policies and procedures
o Participation in meetings of the Resource Ministry Board
o With the facility manager, make prudent financial choices regarding the purchase of equipment, goods and services in accordance with the budget
· Personnel
o Responsible for the administration of employee benefits including health, long-term disability, and 403b retirement.
o Assist the Personnel Committee in implementing the Personnel Practices Policy
o Assist the Personnel Committee and Preschool director in the development of their annual personnel budgets
o Assist the Senior Pastor and Personnel committee with the hiring and assimilation of new employees
o Maintenance of work/leave time for all employees
· Administration
o Understand and use DropBox and Google Drive with ease for church document management
o Serve as administrator of the church management software system, ensuring data integrity, software updates, and proper employee and church member access and security to data. Arrange for training of employees on the software. When necessary, evaluate other software systems for upgrade or change.
o Understand and ensure adequate insurance coverage, regularly seek competitive bids for insurance, and handle any claims for property, liability, and workmen’s compensation.
o Negotiate office equipment leases/purchases
o Manage policies, contracts, and supporting data related to the church columbarium
o Maintain secure files (electronic and paper) of church legal documents
o Knowledge of legal and financial record retention requirements, and maintenance of those requirements
o Supervision of Administrative Assistant and Accounting Assistant
o Assist the Technology committee with computer network issues, software licenses, replacement of hardware, data security
o Manage phone system hardware and software, including upgrades
Position qualifications:
· Degree in accounting, business, or management, or the equivalent work experience
· 5+ years’ experience in accounting, budgeting, human resources, and staff supervision
· Intermediate or better skills in Microsoft Office, especially in MS Excel
· Knowledge of computer technology, hardware, software as well as the ability to participate in decisions regarding system changes
· Excellent interpersonal, verbal, and written communication skills
· Ability to work collaboratively on a team
· Ability to multi-task and prioritize work duties while maintaining attention to detail
