    HEAD OF MAINTENANCE

    WESTLIGHT CONDOMINIUM

    Summary/Objectives

    The Head of Maintenance takes the lead in overseeing the maintenance of the common elements and in unit services provided by the condominium in accordance with best management practices and code requirements. The HM carries out the duties of the position to a level of customer service excellence befitting a best in class condominium association.

    The WestLight Condominium is part of the Square 37 Common Area Association (CAA), which supports the operations of the WestLight Condominiums, The Apartments at WestLight, the DCPL

    West End Library, and the associated ground level retail of the building. The CAA is responsible for the management and operations of building components shared by all parties within the facility, including the boiler/mechanical room, the fire/life safety systems, the access control system, the surveillance system, the exterior envelope of the building, the landscaping and irrigation system of the building, snow removal, and the trash/recycling operations. There is a Chief Engineer of the

    CAA responsible for these items. The Head of Maintenance of WestLight Condominium will work with, communicate with, and liaise with the Square 37 CAA Chief Engineer as needed and appropriate.

    Hours of Duty: Monday-Friday, 8:00 a.m. – 4:30 p.m., and on-call as required (half-hour lunch)

    Duties & Responsibilities

    The Head of Maintenance duties include but are not limited to:

    Conduct daily inspections of the WestLight Condominium;

    Monitor and inspect daily building and mechanical systems serving the condominium, noting deficiencies;

    Communicate CAA items to the CAA Chief Engineer as needed;

    Liaise with the CAA Chief Engineer on items such as annual inspections of life safety equipment and all other central plant items impacting the WestLight

    Condominiums;

    Maintain WestLight common area systems, including but not limited to: light fixtures, elevators, water systems, heat and cooling systems, motors, and any other system or equipment under the responsibility of WestLight Condominium;

    Manage the Association’s In-Unit Service Program (IUSP) and execute IUSP work

    tickets and manage and execute the semi-annual inspection of all homes within

    WestLight Condominium. Daily tickets for homeowners may include:

    Clearing drains

    Replacing light bulbs

    Assist with furniture moving

    Adjusting shelves

    Adjusting and repairing windows and doors

    Cleaning / repairing faucets

    Handling expensive art and furniture

    Pulling IPE shower inserts

    Adjusting thermostats

    Replacing HVAC filters

    Troubleshooting HVAC concerns within a home

    Cleaning coils of HVAC equipment

    Minor electric and plumbing needs within a home

    Cutting additional unit keys

    This is only a sample of in-unit type work tickets and services.

    Conduct unit equipment orientation for owners and residents, showing operations of items such as unit thermostats, HVAC and MEP items, and appliances within the unit;

    Develop preventive maintenance logs;

    Develop and maintain daily, weekly, monthly, and annual preventive maintenance and maintenance calendars;

    Perform daily/weekly operations per any schedule developed or provided;

    Maintain records and preventative maintenance records on a daily basis;

    Make daily recommendations for maintenance and repair of common elements;

    Complete logs, reports, and inspection forms as directed;

    Maintain shop and in clean, organized condition;

    Maintain inventory control of IUSP and common area parts and supplies;

    Provide purchase recommendations to the General Manager for supplies, parts, and service;

    Observe contractors to assure that they are performing according to instructions;

    Supervise janitorial and maintenance contractors;

    Supervise additional maintenance team members as may be hired;

    Handle emergency calls, according to general personnel policies, when on duty evenings and weekends;

    Maintain an atmosphere of helpfulness and professionalism regarding association residents, contractors, and other staff members; and,

    Other duties as assigned, which may include oversight of residential moves and deliveries and assisting with snow removal.

    Education & Experience

    A combination of education and experience that provides the required knowledge and skills to perform the job. General qualifications are:

    Sufficient formal education to ensure the ability to read, write, and perform advanced mathematical calculations at a level for successful job performance.

    Minimum of 5 years engineering and maintenance experience of which at least 1-year must have been in a leadership capacity.

    Knowledge

    Thorough knowledge of OSHA (Occupational Safety and Health Administration) regulations and guidelines.

    Knowledge of local building codes, ordinances and related regulations.

    Working knowledge of all components of the mechanical plant, building systems, HVAC

    (heating/ventilation and air conditioning systems).

    Knowledge of standard tools, materials, methods, and practices involved in building maintenance and repair, including carpentry, plumbing, electrical, and painting.

    Skills

    Preparing reports and maintaining records in a timely manner.

    Using computer system for work orders, preparing reports, and tracking preventive maintenance.

    Communicating clearly and concisely, orally and in writing.

    Must be able to communicate effectively with residents, staff and contractors. Must be well – organized and efficient.

    Reading and interpreting blueprints, specifications, permit requirements, special provisions, memorandums and test reports.

    Identifying alternative courses of action. Anticipating and resolving problems using sound judgment.

    Physical & Mental Abilities

    Lifting items up to 50 lbs. Standing, sitting, moving for extended periods.

    Position requires regularly inspecting the property, requiring the ability to walk, for extended periods of time and climb stairs.

    Ability to climb ladders.

    Ability to read PC screens and fine print.

    Ability to prioritize, coordinate and organize a wide variety of activities and projects.

    Ability to analyze situations and respond effectively.

    Ability to think strategically in the context of underlying principles and values.

    Ability to maintain a high level of emotional intelligence.
