ASPEC Operations Manager
Academy of Senior Professionals at Eckerd College (ASPEC)
Immediate Supervisor: Director of ASPEC
Job Summary: Provide support to the ASPEC Office as assigned by the Director. Excellent command of computer skills and strong interpersonal skills are required.
Responsibilities: (Include but not limited to)
1. Responsible for the financial management relating to the business operation of ASPEC
- Initiates and manages ASPEC billing, credits accounts through Banner
- Prepares annual budget for review by the budget and finance committee
- Prepares information for the monthly treasurer’s report
- Monitors expenses in relation to budget
- Prepares information for and is a resource person at the budget and finance meetings
- Maintains financial information on the Banner system
- Responsible for purchase orders, invoices and reimbursement with signature authority up to $500
- Prepares information for Senate meetings, produces and distributes minutes; maintains records
- Creates the monthly membership report by category with yearly comparisons
- Attends and participates in membership and marketing meetings
- Acts as a resource and support in planning and organizing special events
- Prepares and sends out ballots for elections; ensures compliance with ASPEC Bylaws
- Inputs membership data in Banner
- Updates a number of pages on website
- Works with marketing, forum and science day committees for publicity of events as appropriate
- ASPEC social media coordinator; Facebook administrator
- Sends requests for publicity outside of the Eckerd community to Director of Community and Media Relations
- Coordinates purchase orders etc. with business office
- Coordinates work with Banner, graphic designs, business operations with Special Programs
- Coordinates work on scholarships and gift giving with Advancement
- Attends Special Programs communications meetings
- Coordinates approvals of ASPEC written materials with Special Programs
- Works with College Creative Director in the design of approved ASPEC materials
- Provides support and guidance to members of the team as requested
- Recruits, hires and supervises work study students
- Collaborates on group projects
- Shares work loads in times of need
- Shares ideas to continually improve staff operations
