We currently have an opening for an Executive Assistant to support the President and play a critical role in the day to day operations of the business. As a key team member, you will serve as the primary point of contact for internal and external constituencies of the President. You will be responsible for organizing and coordinating all aspects of the President’s schedule, contacts, travel, and communications related to both the business and personal commitments as well as overseeing special projects.

You will need to bring your good judgment and positive work presence along with strong written and verbal communication, administrative, and organizational skills to assist in the continuing growth of the business.

Essential Duties & Responsibilities:

· Manage the executive calendar via interaction with both internal and external executives, consultants, and assistants to coordinate the President’s complex business and personal schedule.

· Plan and schedule all travel including itinerary and documentation management.

· As a primary point of contact, you will research, prioritize, and follow up on incoming issues and concerns addressed to the President.

· Understand and anticipate the demands of the President and ensure organizational, informational, and technological needs are met.

· Act with discretion to preserve the confidentiality of information related to transactions, the organization and staff.

· Compose both external and internal communications on behalf of the President related to a variety of business needs including staff achievements/recognitions, responses to business requests, client follow-up, etc.

· Create high quality documentation and new office systems to elevate the company.

· Monitor, code and reconcile expense accounts to ensure proper spending and reporting.

· Source and update weekly Key Performance Indicator Report to ensure the President is kept well informed of crucial business and internal issues.

· Manage weekly meeting agenda items. Ensure communication with Group Leaders and update information as necessary.

· Provide administrative support when possible to other Group Leaders.

· Assist as needed with any personal related errands.

Qualifications:

· 7-10 years of related experience as an Executive Assistant in a fast paced dynamic corporate environment supporting senior level executives

· High School Diploma required. Bachelor’s Degree or equivalent preferred.

· Strong organizational skills and the ability to complete multiple tasks seamlessly with excellent attention to detail.

· Excellent interpersonal skills and customer service skills with the ability to build positive relationships.

· Excellent written and verbal communication skills.

· Proactive approach to problem-solving with strong decision-making capability.

· Highly resourceful team-player, with the ability to also be extremely effective independently.

· Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Social Media web platforms.

· Willingness to learn new software and systems. QuickBooks experience is a plus.
