Job Summary

Support our team in Health & Wellness! The University of Colorado Boulder encourages applications for a Business Manager to support the Medical Services leadership team. This position will report to the Senior Director of Medical Services and will provide administrative support to the Associate Director of Medical Services, Assistant Director of Support Services, the Medical Director, the Pharmacy Director and clinical leadership. This position is responsible for the day-to-day support services for the division and carries out administrative duties in support of systems, processes, and operations. Responsibilities include human resources administrative functions, assessment and data collection support, critical communication, scheduling and front desk support and collaboration, and facilities and equipment management. This position will also support event planning, document preparation and management through decision-making, planning, organizing, and managing the clinical and business activities of the department.

Medical Services provides a wide range of health care services for students including, but not limited to: primary care for illnesses and injuries, as well as chronic conditions, physicals, sexually transmitted infection testing and treatment, allergy shots, vaccinations, travel health care, and concussion care.

What Your Key Responsibilities Will Be

Organizational Support

  • Provide executive support to the Senior Director, the Associate Director, Assistant Directors, Medical Director and Director of the Pharmacy.
  • Coordinate schedules and prioritize/delegate work assignments.
  • Coordinate the Directors’ complex and often-changing calendars and arrange meetings, remaining aware of their current priorities and long-term goals so as to schedule meetings in the most effective and productive manner.
  • Provide office management and other clerical and administrative duties.
  • Plan and implement on-campus recognition events for Health & Wellness members.
  • Lead special projects delegated by leadership team.
  • Collaborate with leadership, Admin Services and Comm department to keep website current and up-to-date.


Data Support

  • Provide the Senior Director with data and financial analysis for operational, management, business development, budget preparation and strategic decisions.
  • Analyze data and prepare reports regarding clinic statistics, patient experience surveys, provider stats, appointment stats, and operational stats.
  • Data entry for multiple and complex deadlines using electronic systems and databases.
  • Assist with budget preparation.
  • Identify clinical information that is needed and work with appropriate personnel to ensure receipt of data.
  • Serve as a resource to coordinate the creation of new reports and tools for practice plan management.
  • Assist with minor computer support.


Human Resources

  • Work as a liaison with the Human Resources team and with Medical Services managers to ensure all documents and paper work are completed for any employee changes.
  • Assist Human Resources with ensuring all information is gathered to create and process materials such as offer letters, position descriptions, performance management documents, computer user agreements, orientation manuals, competency checklists, organization charts, computer deletion and termination forms.
  • Responsible for new personnel orientation (NPO) manuals for medical services, tracking of online security trainings and paperwork.
  • Assist leadership in orientation and onboarding for new employees.
  • Assist with employee development and staff integration.
  • Assist with coordination and compilation of MS peer review.


Assessment

  • Compile reports on patient satisfaction and other information as needed or requested by MS leadership.
  • Partner with QI, compliance and other partners to provide standard reports, data dashboards in support of organizational goals and priorities.
  • Work with Senior Director to oversee any surveys and feedback to ensure efficiency of operations.
  • Assist in practice benchmarking for each unique practice.
  • Oversee customer feedback processes to enhance customer satisfaction.


Communication

  • Assist Senior Director and leadership with writing, compiling and distribution of MS newsletter.
  • Proofreading, editing, compiling, and formatting documents, including legal agreements and marketing materials.
  • Communicate with department personnel regarding relevant policies, procedures, and operations processes and needs.

Salary Range Starts at $50,000.

What We Require

  • Bachelor’s degree or higher (professional experience may be substituted on a year for year basis for the educational requirement).
  • Experience providing executive level administrative support.

  • Dedication to customer service.
  • Proficiency in Microsoft Office programs.

What We Would Like You To Have

  • Experience with coordinating executive calendars/scheduling.
  • Experience with budget preparation.
  • Experience working in a medical clinic or medical setting.
